Project Manager in HELVETAS Swiss Intercooperation

Helvetas Swiss Intercooperation is a Swiss international development organization present in 35 countries across Africa, Asia, Latin America, and Eastern Europe. It’s activities are focused on sustainable development initiatives, infrastructure recovery, economic recovery, and resilience.

In Ukraine, Helvetas implements programmes for economic recovery and development and supports the rehabilitation of housing and water infrastructure in communities. Our solutions are grounded in strong analysis of Ukraine’s labour market and economic trends, ensuring effective, sustainable and scalable approaches to recovery.

Helvetas currently operates in the Kyiv, Kharkiv, Chernihiv, Sumy, Dnipropetrovsk and Poltava regions and plans to expand its activities. Working at multiple levels, Helvetas collaborates with national and local authorities, businesses, and a network of civil society partners to deliver on its objectives.

Responsibilities:

Overall Project Management:

• Lead the implementation of the project, ensuring alignment with objectives and donor requirements.
• Coordinate activities across project locations (Kyiv, Kharkiv, Dnipro, Poltava, Chernihiv, Sumy and other locations as needed) to maintain consistency and effectiveness.
• Monitor project progress, identify risks, and adapt plans as needed to achieve desired outcomes and report regularly on progress.
• Collaborate closely with the Helvetas support team in Kyiv & Kharkiv to ensure operational efficiency.
• Ensure that all project activities are implemented in accordance with Helvetas policies and procedures.
• Provide support to Helvetas program delivery and development.
• Support monitoring of partner organization project implementation.
• Provide support with partner due diligence processes.
• Support the establishment of new partnerships.
  Stakeholder Engagement:
• Establish and maintain productive relationships with local authorities, community organizations, and other stakeholders.
•  Represent the project in external forums and networking events to promote visibility and cooperation.
  Grant Management:
• Oversee the delivery of small grants to SMEs, ensuring adherence to project guidelines and timelines.
• Ensure proper monitoring and reporting of grants in line with donor and organizational standards.
  Monitoring, Evaluation, and Reporting
• Ensure timely collection, analysis, and reporting of project data to relevant stakeholders.
• Oversee project-related monitoring and evaluation (M&E) to track progress and impact.
• Prepare high-quality reports for internal use, donors, and stakeholders.
  Visibility and Public Presentation:
• Ensure the project’s visibility by contributing to communication materials, presentations, and public events.
• Act as a spokesperson for the project, promoting its impact and success stories.
  Other Duties:
• Perform additional tasks as assigned to support the overall objectives of the organization.

Key qualities for success in this role:

• Minimum of 3 years of experience in project management, business development, or grant management in the development/humanitarian sector.
• Proven experience managing multi-site projects.
• Understanding of donor regulations and funding processes (knowledge of donors such as USAID, EU, SIDA, etc. is an advantage).
• Good organizational skills with the ability to manage multiple tasks and priorities under tight deadlines.
• Experience with grant management and reporting.
• Strong stakeholder engagement and communication skills.
• Excellent written and verbal communication skills in English and Ukrainian.
• Proficiency in project monitoring, evaluation, and reporting.
• Experience working in complex and challenging environments.

Основні обов'язки:

Управління проєктом:

• Очолювати реалізацію проєкту відповідно до його цілей та вимог донорів.
• Координувати діяльність у різних локаціях (Київ, Харків, Дніпро, Полтава, Чернігів, Суми та інші).
• Відстежувати хід виконання проєкту, оцінювати ризики та коригувати плани за потреби.
Work closely with HELVETAS support teams in Kyiv and Kharkiv.
• Ensure compliance with HELVETAS policies and procedures in all project activities.
• Support implementation of program initiatives and development of the organization.

Working with partners:

• Control the implementation of projects of partner organizations.
• Support the process of checking and evaluating partners.
• Contribute to the establishment of new partnerships.

Interaction with interested parties:

• Establish and maintain working relationships with local authorities, public organizations and other partners.
• Present the project at external events and in professional networks.

Manage grants:

• Control the process of providing small grants for SMEs according to project requirements.
• Ensure monitoring and reporting on grants in accordance with donor and organization standards.

Monitoring, evaluation and reporting:

• Collect, analyze and prepare project reports for internal and external stakeholders.
• Oversee monitoring and evaluation of project performance.

Project coverage and presentation:

• Participate in the creation of information materials about the project and its achievements.
• Represent the project in public events.

Key qualities for success in this role:

• Minimum 3 years of experience in project management, business development or grant management in the development/humanitarian field.
• Experience with multi-location projects.
• Knowledge of donor funding regulations and processes (USAID, EU, SIDA, etc. will be an advantage).
• Ability to work with a large volume of tasks and meet deadlines.
• Experience in preparing reports and managing grants.
• Interaction skills with interested parties.
• Fluency in Ukrainian and English.
• Experience of working in difficult and crisis situations.
