Purpose of the position
Ensure the full cycle of management of the Fund's humanitarian projects: from planning and launch to quality implementation, budget control, reporting to the donor and achieving the planned results for the victim population.
Main duties
1) Project cycle management
Plan and coordinate project implementation in accordance with the approved intervention logic, work plan and budget.
Develop/update operational plans, activity schedules, assign roles in the team, control deadlines.
Ensure implementation of indicators and results, timely identify deviations and initiate corrective actions.
2) Team coordination and contractors
Organize the work of the project team (coordinators, field workers, assistants, etc.), set tasks, monitor implementation.
Coordinate interaction with the financial/administrative department, procurement, logistics, MEAL, communications.
Ensure quality work of contractors/suppliers within the project (if necessary).
3) Budget and compliance
Control the use budget, preparation of cost forecasts, timely planning of purchases/disbursements/field activities.
Ensure compliance with donor requirements, internal procedures of the Fund, principles of humanitarian activities.
Maintain project documentation in an up-to-date state (plans, orders/orders, registers, protocols, acts, etc.).
4) Reporting and interaction with the donor/partners
Prepare high-quality narrative reports, informational updates, responses to donor requests.
Participate in meetings with the donor, partners, clusters, local authorities; ensure coordination of activities.
Ensure project readiness for monitoring visits and checks (monitoring/audit/evaluation).
5) Work in communities and quality of implementation
Regularly inform the management about the implementation status: progress, problems, solutions, support needs.
Requirements for the candidate
Experience in managing humanitarian/social projects from 1 year (full cycle: planning > implementation > reporting).
Understanding of donor approaches and compliance (experience with UHF/CBPF/OCHA, other international donors would be an advantage).
Practical skills in planning, budget control, working with deadlines and multiple processes simultaneously.
Experience coordinating field activities and interacting with communities/authorities/partners.
Confident use of Google Workspace / MS Office (especially Excel), preferably - KOBO/ODK, basic understanding of MEAL logic.
Ukrainian - fluent, English - not lower than B1–B2 (for correspondence/reports/meetings).
High ethical standards: zero tolerance to fraud, corruption, sexual exploitation and violence.
Key competences:
Systematicity and discipline in task management.
Ability to negotiate, keep the framework and "press" execution without conflicts.
Calmness in turbulence.
Ability to write clearly and structurally (reports, letters, explanations of decisions).
Working conditions
Format: office/hybrid/business trip to communities (depending on the project).
Location: (Kyiv and project regions).
Employment: full time.
Contract: fixed-term for the project period (from 1 year) with the possibility of extension (depending on results and funding).
