About APOPO:

APOPO is an award-winning Belgian NGO established in 1997 and currently operating in 11 countries. APOPO’s mission is to protect the people and the planet using scent detection animals. The organization trains and deploys rats and dogs in humanitarian missions such as the detection of explosives, diseases, illegal trafficking and search & rescue. APOPO currently has over 300 operational animals, most of which are working in Mine Action, which makes it the largest animal detection operator in the sector. 

 

About APOPO in Ukraine:

Since the Russian invasion of 24th February, Ukraine has been severely affected by landmines, cluster munitions and other explosive remnants of war. The scale of the conflict and the use of high impact and indiscriminate weapons requires an urgent and extensive response. APOPO aims to accelerate the reduction of suspected hazardous areas in Ukraine using its Technical Survey Dog Teams. APOPO is preparing to launch a major Capacity Building Mine Action project in Ukraine. To support this fast-moving and high-impact program, we are searching a Project Coordinator.

 

ABOUT THE ROLE:

APOPO is implementing a capacity building project with a national Mine Action Operator, in the field of Mine Detection Dogs. The Project Coordinator will provide support to grant management, administration and monitoring, business development, communications, media and representation as directed by the  Project Manager. The Program Coordinator will also play a key role regarding reporting deadlines, data compilation and overall business development strategy.

KEY RESPONSIBILITIES

  • 1. Project Coordination & Implementation
  • · Coordinate daily implementation of activities.
  • · Ensure project activities are delivered in line with approved workplans, budgets, timelines, IMAS, and national mine action standards.
  • · Support operational planning in coordination with Project Manager and Project Officer MEAL
  • · Track progress against targets and flag risks, delays, or operational challenges.

 

  • 2. Donor & Stakeholder Coordination
  • · Serve as focal point for coordination with donor offices and implementing partners
  • · Support preparation and follow-up of coordination meetings, field visits, and donor monitoring missions.
  • · Ensure effective information flow. 

 

3. Compliance, Quality & Safety

  • · Ensure compliance with IMAS, national mine action authority regulations, UNDPdonor rules, and organisational SOPs.
  • · Ensure quality assurance, quality control,and operational safety standards are maintained.
  • · Support incident reporting, follow-up actions, and corrective measures where required.

 

  • 4. Monitoring, Reporting & Documentation
  • · Coordinate with Project Officer MEAL to ensure accurate and timely data collection and reporting.
  • · Contribute to donor narrative reports, situation updates, and internal reports.
  • · Ensure project documentation (plans, reports, approvals, correspondence) is complete and properly archived.

 

  • 5. Financial & Administrative Coordination
  • · Support budget monitoring, expenditure tracking, and forecasting in coordination with finance team.
  • · Review project-related procurement and logistics requests to ensure alignment with approved plans and timelines.
  • · Support contract management of partners and service providers as required.

 

6. Team Coordination & Capacity Building

  • · Coordinate work of project staff, consultants, and partners under the project.
  • · Support onboarding, task planning, and performance follow-up of project personnel.
  • · Promote collaboration between construction, operations, MEAL, finance and logistics team.

 

7. Risk Management 

  • · Identify operational, security, and implementation risks and support mitigation measures.
  • · Support adaptive management by proposing adjustments based on project realities, MEAL findings, and stakeholder feedback.
  • 8. General APOPO Responsibilities
  • · Adhere to APOPO’s Code of Ethics and Professional Conduct.
  • · Promote APOPO’s mission, values, and reputation in all activities.

REQUIRED QUALIFICATIONS & EXPERIENCE & SKILLS

  • · A relevant University degree.
  • · Experience in Humanitarian Mine Action or the broader Humanitarian/NGO sector.
  • · Broad experience in proposal development, donor reporting, partner/donor relations, grant monitoring, management, information management, administration, and contract compliance.
  • · The ability to produce written material of a very high quality and prioritize a heavy workload to meet deadlines is essential.
  • · An understanding of NGOs and a commitment to humanitarian work.
  • · A flexible and adaptable approach to work.
  • · Excellent interpersonal skills with the ability to build effective relationships with a range of people.
  • · Ukrainian language skills.
  • · Fluent written and spoken English language skills.

To support this fast-growing and highly effective program, we are seeking a Project Coordinator.

 

JOB DESCRIPTION:

 

APOPO is implementing a capacity-building project with a national mine action operator in the field of mine detection dogs.

The Project Coordinator will provide support in the field of grant management, administration and monitoring of the project, business development, communications, work with the media and representation - in accordance with the instructions of the Project Manager.

The project coordinator will also play a key role in meeting the deadlines for the preparation of reports, summarizing and analyzing data, as well as in the formation and implementation of the overall business development strategy.

KEY DUTIES:

 

1. Project coordination and implementation

  • · Coordinate the daily implementation of project activities.
  • · Ensure the implementation of project activities in accordance with approved work plans, budgets, schedules, IMAS standards and national mine action standards.
  • · Maintain operational planning in coordination with the Project Manager and the Project Monitoring, Evaluation, Accountability Specialist and learning (MEAL).
  • · Monitor progress towards planned performance and report risks, delays or operational challenges in a timely manner.

2. Coordination with donors and stakeholders

  • · Act as a contact person for coordination with donor offices and implementing partners.
  • · Support the preparation and follow-up of coordination meetings, field visits and donor monitoring missions.
  • · Ensure effective information exchange between all involved parties.

 

3. Compliance, Quality and Safety

  • · Ensure compliance with IMAS standards, national mine action authority requirements, UNDP/donor regulations and the organization's internal standard operating procedures.
  • · Ensure adherence to Quality Assurance (QA), Quality Control (QC) and operational safety standards.
  • · Maintain incident reporting, follow-up and corrective action processes for necessary.

 

4. Monitoring, Reporting and Documentation

  • · Coordinate with the MEAL Project Specialist to ensure timely and accurate data collection and reporting.
  • · Participate in the preparation of donor narrative reports, situational updates and internal reports.
  • · Ensure completeness of project documentation (plans, reports, approvals, correspondence) and its proper archiving.

5. Financial and administrative coordination

  • · Maintain budget monitoring, cost tracking and financial forecasting in coordination with the finance team.
  • · Review requests related to procurement and logistics to ensure their compliance with approved plans and implementation timelines.
  • · Maintain contract management with partners and service providers in the event needs.

 

6. Team coordination and capacity building

  • · Coordinate the work of project staff, consultants and partners involved in the implementation of the project.
  • · Support processes of adaptation (onboarding), task planning and performance evaluation of project staff.
  • · Promote effective cooperation between construction, operations, MEAL, finance and logistics teams.

7. Risk management

  • · Identify operational, security and project implementation risks and facilitate the implementation of measures to minimize them.
  • · Support adaptive project management by proposing adjustments taking into account implementation realities, MEAL results and feedback from stakeholders.

 

8. General responsibilities of APOPO

  • · Adhere to the APOPO Code of Ethics and Professional Conduct.
  • · Contribute to the promotion of the mission, values and reputation of APOPO in all activities.

REQUIREMENTS FOR THE CANDIDATE:

  • · Higher education in a relevant field.
  • · Work experience in the field of humanitarian demining or in the wider humanitarian / neurotoxic sector.
  • · Extensive experience in project proposal development, donor reporting, working with partners and donors, grant monitoring, management, information management, administration and compliance with contractual obligations.
  • · Ability to prepare high-quality written materials and effectively prioritize a large volume of tasks to meet deadlines.
  • · Understanding of work principles non-governmental organizations and dedication to humanitarian activities.
  • · Flexible and adaptive approach to work.
  • · Excellent interpersonal skills and the ability to build effective working relationships with various stakeholders.
  • · Proficiency in the Ukrainian language.
  • · Fluent written and spoken English.
