Who are we?
Friends of Brands Inventive Marketing. We invent solutions even when it seems that they do not exist.

We work on serious topics - from human rights to post-conflict reconstruction. But at the same time, we are a living team that values each other, flexibility and the opportunity to develop. We have an office in Kyiv, we meet there on Wednesdays. The rest of the days - who is comfortable.

We needa living person nearby, who likes to work with people and organize processes so that the team can focus on cool projects. This is a person who:

accesses, document reminders

What do we expect from you?
Experience (one of the options is suitable)
office management 2+ years (any field), or event management 1+ years, or junior HR 1+ years (especially in startups/agencies), or community manager 1+ years, or executive assistant 2+ years with various tasks
Personal qualities (this is the main)
emotional intelligence and healthy boundaries, that is, you listen to people, but do not take their problems on yourself
proactivity, that is, you see what needs to be done and do it without waiting for instructions
organization, that is, you keep many threads and nothing gets lost
systematicity, that is, you notice where the process breaks down and come up with a solution
communication without drama, i.e. you can talk to different people, non-conflict, but you know how to defend your opinion
Practical skills
confidently work with tables, online tools
can you write a clear text of the vacancy / message / procedure
know how to organize processes (or learn quickly)
Cool if you
have experience in recruitment (even basic)
understand marketing/creative field
do you know systems like Worksection, Slack, Notion
interested in team psychology and training
can facilitate meetings and processes
Definitely not suitable if you
expecting "big" HR work (strategies, policies, market analytics)
too procedural and formal
don't like operational "trifles"
you quickly burn out from the emotions of others
need clear instructions for each step
What should be done?
Working with a team (up to 35% of time)
spend 1:1 with people (find out how things are, what bothers them, what they want)
participate in the weekly "Team Pulse"
gather feedback through surveys, informal conversations
organize the definition of "the best employee of the month"
plan and conduct team building activities (online and offline, once per quarter)
coordinate training, i.e. identify needs, find courses/trainings, organize the process together with the team
Operational support (up to 25% of time):
control Worksection, who has completed the hours, who has not, whether it is correct
manage access (Google Drive, mail, tools)
remind about deadlines for documents, invoices, contracts
communicate with the accounting department so that registration processes go smoothly
support office day (Wednesday): help with documents, New mail, organizational issues
Recruiting and onboarding (as needed, up to 25% of the time):
search for candidates and conduct initial interviews
coordinate final interviews with the team
prepare documents for hiring (interaction with accounting)
support the start for newbies: welcome pack, access, getting to know the team
look for outsourced specialists and contractors as needed
Additionally (up to 15% of the time):
offer initiatives that will make the team happier
conduct exit-interview if someone is going
help the CEO in admin and HR matters
love the profession and develop in it :)
What do we offer?
Official salary and part-time employment employment with one office day a week on Wednesdays (Kyiv, Palace of Sports), the rest of the days - remote, as comfortable initiatives, working with talented experts, fans of their business
