We are looking for aOperations Managerwho will take full responsibility for the organization of our medical conferences and events. You will ensure flawless holding of 15-25 conferences per year (online and face-to-face).

You will havefull operational independence in conducting conferences - from coordinating speakers to preparing final reports. This is not an assistant position; after onboarding, you will independently lead projects from start to finish, working with various stakeholders.

Your responsibilities

Organization of face-to-face conferences:

  • work with a colleague in face-to-face conferences text-decoration: none">Independently conduct individual activities from planning to implementation

  • Go to locations to control issues font-style: normal; text-decoration: none">Coordinating sites, logistics, and service for participants

Organization of online conferences: 400; text-decoration: none">Coordinate topics and presentations

    Populate conference sites on our event platform

  • Prepare and send email newsletters to inform and attract participants

  • Send referrals, invoices and acts

  • Готувати post-tests and surveys

  • Create and send analytical reports to sponsors and partners

  • Formulate BPR documentation for reports to the Ministry of Health of Ukraine

  • Keep financial reporting on events

  • Maintain all documentation in the corporate database

  • Administration:

    • Conducting documents for projects

    • systems

    • Control payments and minimize arrears

    Who we are looking for

    Required:

    • Responsibility and independence – you understand issues without outside help and get things done

    • Scrupulosity – nothing gets lost or forgotten under your control

    • Excellent communication skills – you write and speak competently and clearly, you respond quickly, you know how to build trusting relationships with people

    • Discipline – you clearly follow the instructions and systematically follow the checklists

    • Problem solving skills – you anticipate difficulties before they arise and deal with them effectively when they arise

    • Confidence with digital tools - you quickly master online platforms and tools (Zoom, email marketing, CRM, databases)

    • Comfortable work in conditions of incomplete certainty – you will receive part of the processes ready-made, part you will help create

    It will be a plus:

    • From 1 year of experience in event management, project coordination or operations

    • English at a level sufficient for working communication

    • Medical or pharmaceutical education or some understanding of this field

    • Experience of remote work and the ability to independently organize your working day

    Location and trips:

    • Remote work from any city of Ukraine

    • Business trips: 2-4 trips per month in the high season (March-May, September-November); in other months - minimal or no trips at all
