Role title:Operations manager

Subordination:Head of the Galt project.

Reason for opening the role:Expansion of the project, growth number of products, partnerships and operational processes.
Impact on company mission: The operations function provides the ability to create and implement planned ideas and strategies. Without sustainable development of the project and daily operational support, no team can be effective.

This role guarantees the reliable and stable operation of the military project "Galt" - both the space itself and its development as a brand. It covers work with civil-military partnership, military-patriotic education of youth, militarization of society, training courses and joint events with units. In addition, the operational function is critical to scaling Galt, allowing it to grow systematically, while maintaining focus and minimizing financial and legal risks. The operations manager creates the conditions for the maximum disclosure and development of project values.

Role mission:Build and maintain a predictable operational system of the Galt project, which removes the daily operational load from the manager, ensures stable implementation of all products and events without "fires" and creates a basis for scaling the space without loss of quality, control and trust.

Operations manager / manager is responsible for organization and coordination of key operational processes of the project: document flow, logistics, interaction with contractors, financial support and internal team processes. The role aims to ensure coordinated, timely work without overloading the team.

Main areas of responsibility

Operational support

  • Organization and support of daily project operational processes

  • Maintenance and updating of project operational plans (monthly / weekly) and schedule space

  • Control of tasks,deadlines and processes

  • Operational implementation of Galtu products

  • Control of operational tasks in space from administrators (utility payments, state of space)

Document circulation and financial support

  • Preparation and support of contracts, invoices, acts together with financial department

  • Maintenance of internal project reporting

  • Control of payments, expenses and compliance with the budget

Work with contractors

  • Operational communication with printers, designers, technical services, logistics partners, speakers, experts

  • Quality control services and adherence to agreements

  • Organization of procurement and logistics processes (delivery, installation, storage)

Coordination of internal processes

  • Analysis of the customer journey and implementation plan of key space products — CRM, NPS, space reservation systems.

  • Ensuring effective interaction between the project team, the fund and external partners

  • Collection, systematization and preservation of project information

  • Identification of operational "bottlenecks" and initiation of process improvements

  • Practical experience of operational or project management in a multi-parallel environment processes

  • Working with contracts, invoices, acts, control of payments and budget limits

  • Experience of interaction with financial and legal functions

  • Use of task trackers and financial accounting systems

  • Organization of work with contractors: TOR, deadlines, quality control of execution

    The project manager is involved in ?20% of operational decisions.
  2. Financial discipline
    100% of contracts and payments are completed on time; budget deviation ?5%.
  3. Predicted operational activities of the space
    The calendar of the space is maintained without failures; ?90% of events are implemented according to plan.
  4. Stable implementation of products and events
    95% of initiatives per year are implemented in a full operational cycle without "fires".
  5. System of contractors
    Formed base + work standards; ?80% of contractors positively evaluate the interaction.
  6. Operational systems launched
    CRM / reservation / NPS implemented together with the IT department and used by the team.
  7. Operational transparency                                                           90% of tasks have owners, deadlines and current status.
