Position Summary

the Objective 2 Officer will provide essential logistical, administrative, and programmatic support to the Rehab4U Activity. the Objective 2 Officer will draft documentation, facilitate drafting reporting and the implementation of project activities, ensuring compliance with donor regulations, and maintaining effective communication among stakeholders. Additionally, the Objective 2 Officer will support on reporting, and collaborate with the Objective 2 Manager on collecting information on the Activity implementation status and monitoring the Activity work plans and timelines.

Expected duties and responsibilities

The Rehab4U Objective 2 Officer, under the supervision of the Rehab4U Objective 2 Manager, provides essential support in implementation of the Rehab4U Activity. 

Task 1: Administrative and Logistical Support

1.1. Draft agendas, participant lists, meeting minutes, memos, surveys and forms for project activities.

1.2. Organize electronic and paper filing systems to ensure that project documentation is accessible and audit-ready. 

1.3. Support the logistics of trainings and in-country activities, including arranging venues, technical and interpretation support, catering and transfer services.

1.4. Assist with procurement activities by sourcing supplies needed for project activities and ensuring compliance with donor rules and regulations.

1.5 Prepare all required pre-event and post-event documentation, including event agenda, forms, surveys, and reports, for submission to the CPD platform.

1.6. Collaborate with finance, technical, and operations staff for the procurement process.

1.7. Maintain the Objective 2 Lead and Direct Line Manager meeting schedules, programs of the visits, and travel arrangements.

Task 2: Travel Coordination

2.1. Facilitate travel arrangements for project personnel and international project travelers, ensuring compliance with travel policy and documentation standards.

2.2. Review travel documentation for compliance and forward for approval as necessary.

2.3. Resolve logistical and programmatic needs related to travel and facility arrangements including ground transportation, accommodations.

Task 3: Reporting, Documentation and Communication

3.1. Consolidate, contribute to, and review technical inputs for contractually obligated donor reports and project deliverables, upload all project-related documentation to SharePoint.

3.2. Contribute to the preparation of monthly reports if any, focusing on significant accomplishments and encountered challenges.

3.3. Help facilitate communication between local and national agencies, institutions, and relevant stakeholders to further project activities.

3.4. Attend Rehab4U weekly staff meetings and contribute to discussions related to program activities. 

3.5. Assist in maintaining schedules for Objective 2 Lead and Direct Line Manager’s meetings, including preparation of necessary materials, information and documentation.

3.6. Regularly update the Direct Line Manager, Objective 2 Lead and Chief of Party/Deputy Chief of Party, MWH HQ on program implementation progress against the work plan and indicators, suggesting necessary adjustments and addressing evolving issues

3.7 Conduct end-of-month file audit for relevant program documentation

Minimum Qualifications:

  • Bachelor’s degree in a relevant field, including business administration, procurement, logistics, program management, or a related field
  • At least two years of professional experience providing project-related logistical and administrative support in a team environment on international technical assistance projects
  • Detail-oriented with good coordination, organization, and prioritization skills
    Demonstrated analytical and administrative skills, as well as resourcefulness and initiative
  • Excellent computer skills with practical experience using Microsoft Office, Outlook, Dropbox, and other relevant applications
  • Fluency in Ukrainian and English
  • Excellent oral and written communication skills
  • Strong document drafting and written organization skills
  • The candidate must be located in Kyiv and work from the Kyiv office.
