OBJECTIVE OF THE POSITION

HR & Admin Officer is responsible for the effective implementation of HR processes and administrative procedures in accordance with Save the Children International (SCI) policies, standards and local labor law requirements. The position involves providing direct technical and operational support to the HR/Admin Coordinator and managers in the areas of recruiting, personnel management, document management, payroll and general office administration.

The HR component of the role focuses on supporting and coordinating HR activities, including: recruiting, onboarding, payroll data management, leave and performance accounting, and maintaining accurate and compliant personal records. employees.

The administrative direction ensures the efficient day-to-day operations of the office, including payment processing, logistics, procurement of consumables, staff welfare activities and support staff coordination.

The position requires strong organizational and communication skills, attention to detail and the ability to work with multiple priorities in a dynamic humanitarian environment.

Given the context of Ukraine, the HR & Admin Officer may be involved in the execution of tasks outside the standard role profile to support emergency response and business continuity.

KEY AREAS OF RESPONSIBILITY

HR Responsibilities

• Collecting primary data (personal data, contracts/agreements, signed policies, training certificates, statements, etc.) and ensuring it is available in personnel files
• Preparation HR contracts, documents, orders, letters, certificates in accordance with the legislation of Ukraine
• Support of the HR Coordinator in tracking the completion of timesheets for national and international personnel
• Collection, verification and accounting of leave applications, updating the Leave Tracker
• Maintaining and regularly updating information on the adaptation of new employees
• Communication with the IT team regarding corporate e-mail issues accounts
• Keeping trackers (vacation, recruiting, etc.) for quick access to information
• Supporting the HR/Admin Coordinator in preparing data for transferring payroll documents to the finance department
• Managing documentation for support staff (contracts, acts, letters of recommendation, travel reports, etc.)
• Helping to update cPerformance Management systems and the preparation of reports as needed
• Support in daily HR tasks
• Assistance with the registration of insurance for personnel
• Preparation of documentation for interaction with external bodies (registration, taxation, insurance, training and development, well-being, etc.)
• Recruitment support in accordance with the principles of Safe Recruitment
• Timely and correct data entry into the Oracle system HR

Administrative Responsibilities

• Support the implementation of office processes and protocols in accordance with SOP SCI
• Initiate payment requests for renting an office, guest house and communal services in the city of Dnipro
• Processing current administrative payments
• Transferring approved payment documents to the finance department
• Accounting for SIM cards for Southern staff of the office
• Accounting for keys to the office and guest house
• Organization of transport and accommodation for staff and guests
• Control of the work of the cleaning staff and their reports
• Monitoring of the technical condition of the office and guest houses
• Registration of outgoing correspondence
• Administrative support for staff welfare events
• Purchase of office materials
• Logistical support for visits, delegations and consultants
• Preparation of welcome materials and organization of meeting rooms
• Maintenance of visit schedules and transfer of information to the Safety & Security and Fleet teams
• Performs the role of the person responsible for coordinating internal support for delegations and consultants.
• Purchase of stationery, furniture, visibility materials
• Accounting and distribution of visibility materials
• Support of internal and external organization events
• Work with correspondence and parcels
• Printing and issuing badges
• Organization of internal holidays and greetings
• Coordination of schedules for the use of meeting and event spaces

QUALIFICATIONS AND EXPERIENCE

Education
• Certificate of education, higher education will be an advantage

Qualifications
• Knowledge of the labor legislation of Ukraine
• Experience or understanding of working in an NGO - desirable
• Experience working with Oracle HR / Taleo - desirable
• Excellent interpersonal skills
• Fluent oral and written English (B2 or higher) and Ukrainian/Russian
• Confident PC user (MS Office, databases)
• attention to details, organization, ability to work with confidential information
• Ability to work with a heavy workload

Experience (mandatory)
• Minimum of 1 year of experience in HR/Admin or working with data
