General objectives of the position:

Under the technical and day-to-day direction of the Regional Program Manager, you will be responsible for the planning and implementation of emergency assistance activities, including the provision of non-food kits and winter aid. The role involves contributing to the effective implementation of programs by assisting in field operations, data collection, beneficiary registration, conducting distributions and preparing relevant documentation. In addition, you will interact with communities, local service providers and internal departments of the DRB to ensure coordination and referrals, following the procedures and standards of the organization.

Your main responsibilities will be:

Programming and implementation:

  • Support the planning and implementation of emergency response activities (cash assistance, non-food kits, winter programs), ensuring effectiveness and compliance with work plans.
  • Support the implementation of emergency responses in accordance with DRC PCM standards, including input into planning, tracking progress against objectives and ensuring compliance with work plans.
  • Participating in needs assessments and field missions, including joint visits with other sectors to identify needs, vulnerabilities and target beneficiaries.
  • Support identification of vulnerable populations and appropriate targeting in coordination with relevant teams.
  • Prepare and maintain documentation package for beneficiary payments and distributions, ensuring accuracy and confidentiality.
  • Provide contribution to the preparation of proposals by providing field data, information and lessons learned during implementation.
  • Participation in the preparation of monthly, quarterly and annual reports.

Coordination and interaction with communities:

  • Ensuring a regular presence in DnipropEtrov and Zaporizhzhia regions to support implementation, coordination and integration with other sectors and partners.
  • Coordinating with other DRB sectors and partners to ensure integrated programming, including joint planning of locations, targeting and activities.
  • Establishing and maintaining relationships with community stakeholders, local authorities, service providers and partners, facilitating service mapping and improvement access to them.
  • Facilitating internal and external referrals in coordination with relevant stakeholders and partners, ensuring beneficiaries have access to relevant services.
  • Ensuring clear, respectful and transparent communication with beneficiaries, supporting accountability to the affected population (AAP).
  • Supporting collaboration with local service providers and partners during fieldwork activities.
  • Ensure effective flow of information between field teams and program management, including consolidation of field data and feedback.

Data and documentation:

  • Collect and analyze beneficiary data to support evidence-based programming.
  • Ensure accuracy and quality of data collected, including proper documentation and collection of means of verification (MoVs) in accordance with reporting requirements.
  • Ensuring proper archiving, secure storage and confidentiality of beneficiary data.
  • Maintaining trackers of distributions, stock balances and inventory levels, reporting regularly to Regional Program Manager.

Logistics and field support:

  • Development and coordination travel plans in field trips, in collaboration with the Regional Program Manager.
  • Ensure effective flow of information between field teams and
  • Assist in safe handling and distribution of non-food kits, ensuring accountability for supplies and assets.
  • Support organization of distributions and ensure accurate documentation of aid provided.

About you:

To be successful in this position, we expect you to have 700; font-style="font-weight: 400; font-style: normal">at least 2 years of experience in the NGO sectorIn addition, we also expect the following:

Required

  • Master’s or specialist university degree (e.g. political science, international development, economics) or equivalent professional experience.
  • Minimum 2 years of experience in humanitarian or NGO operations.
  • Proven experience in field implementation of programs (e.g. distribution, evaluation, working with beneficiaries).
  • Ability to coordinate activities and communicate effectively with various stakeholders (communities, teams, local actors).
  • Basic understanding of project life cycle management (PCM) and reporting processes.
  • Ability to work independently, organize tasks and set priorities in a dynamic environment.
  • High attention to detail and ability to manage data and documentation.
  • Fluency in the Ukrainian language.
  • Excellent working skills with MS Word, Excel and PowerPoint.
