Ensuring organizational and documentary support for the team's activities, including preparing and maintaining official correspondence, organizing work meetings, keeping protocols and coordinating internal document flow. The position involves systematization and storage of documentation, preparation of official materials, control of information exchange between partners and team members, as well as the use of digital tools for efficient organization of work processes.

Selection of coordinator(s) of administrative work

Part-time

Main duties

  • Preparation and management of official correspondence: preparation of drafts of official letters, replies and informational messages; editing and design of business letters in accordance with business style; communication with partners regarding organizational issues (coordinating meetings, materials, etc.); maintenance and systematization of the official correspondence archive; control of timely sending and receiving of letters.

  • Keeping minutes of work meetings: participation in work online and offline team meetings; recording of key discussions, decisions and agreements; preparation of structured minutes of meetings; identification and fixation of responsible persons and deadlines for tasks; sending minutes to meeting participants; maintaining the archive of protocols and ensuring the availability of information for the team.

  • Organizational support of work meetings: planning and coordination of the time of work meetings; organization of online meetings (Zoom, Google Meet, Microsoft Teams); preparation of the meeting agenda; collection and distribution of materials before and after meetings; sending reminders to participants.

  • Organization of document flow: maintenance and systematization of internal documentation;  preparation and registration of orders; organization of internal document flow; maintaining document registers.

  • Systematization and storage of documents: organization and storage of documents in cloud resources; support for the structure of folders and archives; provision of convenient search ddocuments for employees.

  • Requirements for candidates

    • high level of organization and responsibility;

    • education in the field of philology, business administration or related areas;

    • experience in administrative, coordinating or organizational work;

    • experience in keeping minutes of meetings, preparing official letters, official memos and working with business documentation;

    • ability to present information clearly and structured;

    • attention to wording and details; 

    • experience in using digital tools for organizing work (Google Workspace, calendars, task management systems, etc.); style="font-weight: 400; font-style: normal; text-decoration: none">excellent written Ukrainian, knowledge of English;

    • proactivity in solving organizational issues;

    • communication and the ability to coordinate work between different people.

    Підписанням та поданням своєї комерційної пропозиції учасник погоджується з наступним:

    організація не зобов’язана приймати найкращу за ціною пропозицію чи будь-яку із отриманих пропозицій, до моменту підписання договору про закупівлю;

    організація не несе жодних зобов’язань по відношенню до учасників закупівлі або потенційних учасників закупівлі;

    організація залишає за собою право відхилити комерційні пропозиції всіх учасників процедури закупівлі;

    участь у конкурсі пов’язаних осіб або ж змова учасників конкурсу забороняється. У разі виявлення таких фактів, результати конкурсу  буде відмінено або договір з відповідним постачальником буде достроково розірвано в односторонньому порядку з поверненням всього отриманого таким постачальником за договором та відшкодуванням збитків;


    Організатори конкурсу залишають за собою право заміни відібраного кандидата у випадку неякісного виконання завдань проєкту.

    • The winner of the competition will be notified no later than 10 working days after the end of the competition.
