Main responsibilities:

1. Administrative support
• Organization and coordination of meetings (preparation of agendas, materials, protocols).
• Coordination of internal communication between structural units and regions.
• Management of the department head's calendar.
• Preparation of official letters, certificates, requests and other administrative documents.

2. Document flow and reporting
• Preparation, editing and formatting of program documents.
• Collection and consolidation of information from regional divisions and project teams.
• Control of compliance with deadlines for submission of internal and external reports.
• Maintenance of a systematized electronic archive of department documents.

3. Support of the program development process
• Assistance in the preparation of program concepts and logical-structural matrices.
• Collection, analysis and generalization of analytical data.
• Preparation of presentation materials.
• Support of the process of internal approval of program documents.

4. Coordination of processes
• Monitoring the performance of tasks within the department.
• Preparation of regular status updates.
• Organizational support for the implementation of internal policies, standards and procedures.

Requirements for the candidate

1. Education
• Higher education (management, public administration, international relations or related fields).

2. Experience
• Experience in administrative or project work from 1 to 3 years.
• Experience inworking in an NGO or in the social sphere will be an advantage.

3. Professional competencies
• Confident mastery of MS Office (especially Excel and PowerPoint).
• Skills in preparing analytical reports and presentation materials.
• Ability to work with a large amount of information.
• English language — no lower than the Intermediate level.
• Understanding of the basic principles of project management will be an advantage.

4. Personal qualities
• High level of organization.
• Systematic thinking.
• Responsibility and meeting deadlines.
• Confidentiality in working with information.
• Proactivity and initiative.
• Mandatory stay in the territory of Ukraine.
