In this vital role, you'll deliver a variety of professional administrative services to enhance the efficiency of the Office of the Chief Administrative Officer (OCAO). Working in tandem with senior leadership, your role will be crucial in streamlining our operations and managing sensitive information with the highest discretion. Your contribution will be key to maintaining the smooth and effective functioning of the OCAO. The WORKReceives and reviews all correspondence for the OCAO and coordinates associated actions with the Executive Officer.Receives and screens calls and visitors to the OCAO; answers questions and resolves matters.Performs quality control review and edit for incoming/outgoing correspondence to ensure clarity, consistency, completeness, and compliance with organizational policy.Maintains a correspondence and request tracking system to ensure all deadlines are met and follows up to ensure that actions are completed.Organizes meetings, including scheduling and sending reminders.Manages the CAO and DCAO’s calendar, makes appointments, and prioritizes the most sensitive matters.Serves as liaison with various Divisions under the OCAO.Coordinates physical space, procurement, program management issues, and special projects for the OCAO. Reviews budgets, schedules, and data requirements as appropriate and provides reports or status updates to the Supervisor.Assists in performing routine tasks in support of the administration of a small, stable budget involving basic administrative expenses such as disseminating guidelines for participating in the budget formulation and execution process. Collects information or anticipates needs in preparation for the existing or upcoming Fiscal Year budgeting cycles.Prepares and reconciles all travel vouchers for the OCAO.Exercises extreme tact and diplomacy when interacting with high-level officials who either call or personally visit the OCAO and who represent a broad spectrum of national, public, and private organizations.Serves as Timekeeper for the office, and maintains time and attendance records, and inputs data via the automated system, Workbrain.The REQUIREMENTSHigh school diploma required, post-secondary education or experience in business management or related field preferred, plus 2 years of experience supporting the administrative needs of Senior ExecutivesExcellent internal and external customer service skills.Professional demeanor and the ability to communicate and interact/relate to a diverse group of people including Executive Management, Senior and Mid-level managers, employees, and outside resources.Strong organizational and time management skills, with the ability to multi-task and meet deadlines.Strong problem-solving and decision-making skills.Must be highly proactive, self-directed, and have attention to detail.Must be highly proficient with the use of Microsoft Office Suite and SharePointMust be willing to work onsite, full-time, in Downtown DC with 1 day per week telework.Must be able to report for work between 7:00 am and 6:00 pm, with occasional need for additional duty as requested and authorized.Must be able to obtain pass USCP’s fingerprint check process, which is unique to USCP.Operate a PC in an office environment in a primarily sedentary position.The CLIENT / AGENCYUSPC is a very, fast-paced, and multi-organizational agency.
