General information about the role of the employee

Under the technical supervision of the Database Manager and in close coordination with the Regional Director, the Data Administration Assistant is responsible for providing support to improve data collection for various activities and improve the efficiency of data sharing between departments. The primary objective of this position is to design, develop, test, implement and maintain an activity planning and reporting system.  normal">General Responsibilities

  • Support program teams, emergency managers and regional administrators in the aggregation of data at the regional level; 
  • Work closely with software teams to develop databases to track source data; 
  • Supporting the Database Manager in coding and digitizing tools; 
  • Facilitate and support the data cleansing process for regional data; 
  • Query-based database system modification; 
  • Conducting data analysis and preparing reports for each type of activity;
  • Ensuring storage and archiving of collected data. 

Internal relations: 

Works closely with Database Manager, Regional Director and Emergency Managers

Characteristic duties and responsibilities (by category)

  • Developing user-friendly reporting tables; 
  • Aggregation of results for each sector at the regional level;
  • Support Regional Administrators and Emergency Managers in meeting weekly activity reporting deadlines;
  • Monitoring the planning letter in each region and reporting gaps and inconsistencies to regional directors;  
  • Development of on-demand data collection tools; 
  • Assist MEAL and Program Department staff with minor tasks assigned by the line manager; 
  • Responsibility for the correctness and completeness of the information received;
  • Ensuring timely and effective implementation of department/project activities and prompt provision of all necessary information to the line manager;
  • Ensuring non-disclosure of confidential PIN information and non-disclosure of personal data of employees/beneficiaries/other persons obtained by him/her in the course of work. 

  • The employee is obliged to comply with the requirements of the Policy regarding local personnel and the Rules of internal labor procedures, to comply with safety instructions, fire safety, and other mandatory instructions and procedures related to his work.

  • The employer has the right to give the employee other tasks within the scope of his authority and specialization. 

  • In the case of a large number of different tasks that must be performed by the Employee at the same time, the Employee must first perform the most urgent and important tasks.

Requirements for the candidate:

Education and certificates:

  • Higher education in the field of social sciences, economics, computer scienceauc, finance, information technology or in another related field.

Work experience:

  • 2-3 years of database management experience, preferably in cooperation with humanitarian organizations.

English language skills:

  • Basic level of English (reading and writing).

Professional / technical Competencies:

  • Confident user of Power BI and Microsoft Excel.
  • Good analytical skills and technical knowledge of databases and query languages.
  • Logical approach to problem solving.
  • Knowledge of Microsoft 365 will be an advantage.
