To be successful in this role you will need to be a great communicator (written & verbal), hyper organized and detail oriented. You'll be an experienced project manager and driven to help people (leaders and teams alike) find efficiencies in their work processes. All while supporting them by building a culture that connects teams, leaders and missions, in the fully remote, Digital by Default world that Shopify operates in.You will partner with the Senior. Lead, Team Operations,as well as Senior Leadership Team(s), other Team Operations and Admin Support peers, and stakeholders from across Shopify.Your main focus being to increase the impact of the Senior Leaders of your product area and their teams, craft and when possible, work with other specialists on group wide initiatives. This is a highly collaborative role and we’re looking to bring someone onto the team who is looking for growth, willing to be a thought partner and drive team operations aims. You must care deeply about helping leaders and teams solve a wide variety of problems and be eager to be THE go-to resource and admin expert on a high functioning team.Responsibilities: Support the administrative needs of senior leaders simultaneously to optimize their time and allow them to focus on high leverage, strategic priorities.Proactively manage senior leaders calendars and organize meetings to increase efficiency, prioritize tasks, and maximize their productivity.Drive the aim and execution of a org/pillar-level team operations strategy, partnering with Operations peers, the Senior Lead, Team Operations and others as key assemblers and thought partners.Be obsessed with fostering a healthy and productive team environment for people to do their best work, by keeping people aligned, connected and engaged.Manage the logistical requirements for team activities, including project reviews, events, workshops, homesites and Director specific bursts.Track priorities and ensure follow through with stakeholders on key items to help get sh*t done. Partner with senior leaders to devise and implement a comms strategy leveraging different tools and comms vehicles (ex: Workplace, Slack, videos)Proactively identify opportunities to create efficiencies to maximize productivity and operations in a large team environment.Work closely with the Sr. Lead, Team Operations to help drive initiatives and special projects that span across orgs/ disciplines.Integrate into the the org pillar to gain a more fulsome understanding of current needs, team health, etc and identify opportunities for operational optimization.Work closely with Team Ops and Admin Support peers and managers to create and refine new processes, workflows and projects that raise the bar for the craft of Team Ops.Track priorities and proactively ensure follow through on key items.Be a point of contact and resource for processes and practices within the team, including expenses, POs, invoicing, etc.QualificationsYou have exceptionally strong communication skills (written and verbal) You are very comfortable partnering with senior stakeholders, and when necessary, speaking truth to power.You’re detail-obsessed, organized, and passionate about team operations.You have integrity and can be trusted to handle highly sensitive material and information with discretion, professionalism, and confidentiality.You’re agile, resourceful, and always thinking a step ahead.You comfortable with ambiguity and working in an ever-changing environment.You’re great at prioritizing multiple, competing priorities, and can make prioritization decisions on behalf of your team’s needs.You’re excited to learn about a new team, and have a desire to develop the appropriate business acumen.You are committed to constantly raising the bar for yourself and everything you do.You are 100% comfortable working in a remote environment and have an excellent understanding of, and comfort with, remote first technology and AI tooling.It'd be nice if you had experience in one or more of these:Team and culture building experiencePrevious experience working with senior leadership teamsEvent planning and logistics management experienceInterest in Talent related initiativesWe know that looking for a new role can be both exciting and time-consuming, and we truly appreciate your effort.
