We work in areas such as education, child protection, food security and social support, and we also carry out advocacy activities aimed at ensuring lasting changes in the lives of children.
Purpose of the position:
Coordinate administration, procurement, basic financial support and coordination in the internal departments of the field office in Sumy.
This role ensures smooth daily work. office, effective administrative support and adherence to Save the Children policies and procedures.
In addition, the incumbent will provide operational support to security and fleet functions in Sumy when responsible staff are unavailable, ensuring continuity of essential support services.
Essential Responsibilities
- Maintain purchase orders for office supplies and assets.
- Submit payments documents to the Finance Department based on properly approved documents
- Process and monitor payment of invoices in coordination with
- Finance and Support Manager.
- Ensure that all payments are supported by appropriate documentation.
- Prepare and update administrative documentation (lease agreements, etc.).
- Maintain coordination of visitor transportation needs and placements
- Assist in the organization of events, trainings, seminars and meetings with program teams, authorities, partners and donors.
- Ensure proper documentation of all goods entering and leaving the warehouse in accordance with Save the Children procedures.
- Ensure compliance with Save the Children Standard Operating Procedures for asset and stock management.
- Maintain an accurate centralized register of assets that covers all assets in the Sumy office.
- Ensure quarterly physical inventory and submission of relevant reports.
- Ensure registration of all assets issued to employees using Asset Transfer Form with signature and proper filing.
- Receive software purchase requests and process them with all supporting documentation prior to submission for final approval, ensuring approval by authorized signatory.
- Assist in the procurement process with quotation collection, document preparation, order tracking and reporting, and file/record maintenance.
- Maintain proper documentation of all procurements throughout the supply chain (PR, CBA, PO, GRN, SRF, WB, etc.).
- Advise customer on specifications and advise on best practices processes.

- Review all quotations and prepare competitive bid analysis for review by the Procurement Coordinator or Logistics Manager prior to placing a purchase order.
- Ensure that purchase orders are prepared based on the best terms provided by the supplier.
- Coordinate delivery between supplier, warehouse and program.
To be successful, you must have:
- At least three years of general work experience
- Knowledge or experience working in non-governmental organizations preferred
- Computer skills (including working knowledge of Microsoft Office (Excel, PowerPoint) and databases)
- Excellent interpersonal skills
- Good verbal and written communication skills in English
- Excellent attention to detail, organizational skills and discretion when working with confidential information
- Ability to work independently and proactively
- Proven ability to handle a complex workload
- Ability to work under pressure and under tight deadlines
