Specialist in administrative and economic activity in Doctors Without Borders

Main objective:

Perform or control all logistical maintenance activities on site (vehicles, fuel consumption and local infrastructure) according to MSF standards and protocols to ensure optimal condition of materials, infrastructure and vehicles.

Responsibilities:

• Planning the movement of vehicles, tracking trips, ensuring the implementation of safety measures.
• Controlling the consumption of materials, fuel, lubricants in various premises (office, residential premises, warehouse, etc.).
• Checking the condition of open areas (gardens, yards) and the correct removal of household waste.
• Control of the technical condition of MSF premises, water supply, electrical networks, walls, ceilings and security conditions; carrying out inspections to assess repair needs.
• Maintenance of logistics equipment for cold chain, energy, IT and radio communication.
• Maintenance of inventory and redistribution of equipment.
• Renewal of permits for the use of radio equipment with local authorities.
• Quality control of work on generators and electrical installations.
• Preparation of orders, control their implementation and the condition of the goods received.
• Execution of local purchases, informing the manager about problems with the quality or availability of goods.
• Participation in trainings at the request of the manager.

Features of the MSF unit:

• Implementation of "passive safety" measures.
• Control of expenses only for the vehicle fleet.
• Maintenance of energy systems, facilities, general equipment and vehicle fleet (TMS).
• Control of the quality and availability of ordered goods, without physical execution of purchases
• Communication with service providers, administration of contracts.
• Sending/receiving/tracking of documents and items between locations (for example, "Nova Poshta").
• Management of payments for the logistics department (parking, small payments).
• Preparation of payment requests to the finance department.
• Planning of traffic of the fleet, driver schedules, vacation schedules.

REQUIREMENTS:

Education:

• High school education (required)

Experience:

• Preferred work experience in MSF or other NGO organizations.

Knowledge of languages: fluency in the Ukrainian language; knowledge of English - intermediate level (required).

Knowledge:Computer skills (Word, Excel, Outlook, Internet).
