SCI has been working in Ukraine since 2014. It started its work in the Donetsk region. Currently, SCI is expanding its activities to eight cities of Ukraine.

We work in the areas of education, child protection, overcoming child poverty, health care' I, and we also carry out advocacy activities related to the protection of children's rights.

GOAL POSITIONS:

Providing diverse and complex professional support to the members of the board, anticipating the requirements of the director of the representative office in all matters related to his / her immediate and long-term schedule, and managing administrative processes in accordance with established deadlines.

KEY AREAS RESPONSIBILITIES: 

  • Providing comprehensive day-to-day executive support to the Representative Office Director, including proactively maintaining the Director's Diary and arranging travel, in particular booking tickets, staying in hotels, processing documents related to trips (including visas), and also drawing up routes for all trips.
  • Ensuring effective and professional communication with key board members, representatives of international teams, Save the Children members, as well as internal and external contact persons.
  • Ensure that the director of the mission has all relevant documents required for briefings and meetings, as well as manage preparation time and pre-reading deadlines to ensure the smooth conduct of important high-level meetings.
  • Prepare official documents (including letters and presentations) and other materials and distribute them to relevant stakeholders according to agreed deadlines.
  • Translate correspondence/messages from English to Ukrainian and vice versa, as needed
  • Troubleshooting and the ability to filter urgent matters for the director's attention
  • Maintain a clear process of approval of all documents before signing by the Director for Ukraine
  • Manage the calendar and key events and tasks that the project management team should follow.

QUALIFICATIONS:

  • Extensive work experience in a similar position, preferably in the non-governmental sectorand/or in an international environment
  • Experience with complex calendars and organizing international travel for a cross-functional director, including event planning
  • Ability to plan ahead, develop and manage work plans, anticipate requirements, problems and obstacles to effective work while remaining calm under tight deadlines framework
  • Poise and ability to effectively prioritize multiple tasks in a constantly changing environment
  • Self-motivated, proactive and flexible; able to make decisions about when to take the initiative on behalf of the director of the representative office. 
  • High level of computer literacy and confidence in working with Word, PowerPoint, Outlook and Excel, as well as IT savvy in the field of communications< /li>
  • In-depth knowledge of office practices, procedures and administrative systems, including record keeping systems
  • Strong coordination and time management skills
  • Strong written and oral communication skills, fluent in English and Ukrainian languages
  • Ability to relate and communicate effectively with a wide range of people at all levels, across cultures and to act with trust, discretion, tact and diplomacy
  • Recognition of the need to maintain confidentiality at all levels of work
