Senior PROGRAM SUPPORT MANAGER

BO BRANCH OF "DEPOL UKRAINE" BF IN KYIV announces a competition for the vacant position of a senior program support manager who strives for professional development and self-improvement.

The scope of authority of the Senior Program Support Manager, namely:

Development and implementation programs

  • Lead and/or support the planning of new programs, including creation of a model, preparation of a theory of change (ToC), development of a logical structure, action plans and submission of applications and proposals in cooperation with regional managers, technical specialists and fundraisers.
  • Lead and/or support activities of assessment of needs to obtain information base for developing new programs and improving care
  • Lead and/or support program change processes, including program revision, budget revision, restructuring.
  • Lead and/or support the implementation of new programs or changes to programs by branch and project staff, including instructions on mobilization plans, contractual requirements, staffing and resourcing plans and monitoring of the above.
  • Lead and/or support program closures in collaboration with regional branch staff

Program Quality

  • Provide assistance in implementing and maintaining systems and procedures to ensure good practices and compliance with relevant standards for accountability and program quality, including SPHERE Humanitarian Assistance Standards and promote compliance with Core Humanitarian Standards (CHS)
  • Monitor changing contexts, including developing scenarios or forecasts of how the situation might develop and appropriate contingency plans
  • Lead and/or support program review and training initiatives, including oversurveys, interviews, reports and training workshops
  • As necessary, replace program monitoring and/or quality managers and manage specific program quality assurance activities in cooperation with relevant staff

Program Management and Reporting

  • Manage work in key areas of programs and contracts, including with the help of the Depol Ukraine monitoring manager, track indicators against the donor results framework
  • Ensure coordination with the Depol Ukraine financial team to ensure accurate documentation and reporting of Depol Ukraine financial expenditures in accordance with agreed budgets
  • Lead and/or support the preparation of high-quality, persuasive reporting to donors and fund performance, including narrative, performance and financial reporting

Coordination and Representation< /p>

  • Represent Depol Ukraine in external relations with key donors, partners and state organizations, including participation in meetings, preparation of reports, reception of delegations and presentations
  • Represent Depol Ukraine and, as necessary, manage relations with UN Clusters (especially with the Cash Working Group (CWG), Food Security and Livelihoods Cluster (FSLC) and the Protection Cluster) and with other coordinating bodies (NGO Platform)
  • When necessary, replace the Program Director at key coordination meetings and meetings with partners

Willingness to work and travel in dangerous conditions on the territory of Ukraine.

Subordination: to the program director and branch manager.

 Requirements:

  1. Higher education, preferably management and social work
  2. Work experience from 3 years, in the field of management in a charitable organization 
  3. Experience in program management in the humanitarian and/or social services sector.
  4. Experience of working and reporting in accordance with the requirements of financing contracts, including monitoring and financial plans.
  5. Knowledge of program quality assurance activities, including integration of international standards and participation in training events.
  6. Experience in presenting the organization to an external audience.
  7. Excellent project management skills, incl. great attention to detail.
  8. Excellent written communication skills, incl. writing reports.
  9. Excellent interpersonal skills and the ability to build relationships, the ability to create effective working relationships with colleagues in the organization.
  10. Experience in public speaking.
  11. Fluent command of the Ukrainian language .
  12. Proficiency in English at the Upper-Intermediate level and above will be an advantage

We offer::

Officerher employment, work under a fixed-term employment contract until February 28, 2025 with the possibility of extending the fixed-term contract.

Trial period 3 months.

Work schedule: 8 hour work day from Monday to Friday from 9:00 a.m. to 5:00 p.m. Weekends: Saturday, Sunday.

The workplace is territorially located at the address: Beresteyskyi prospect, 5-A, Kyiv

Annual vacation of 24 calendar days, in if benefits are available, additional leave is granted in accordance with the legislation of Ukraine.
