The "Man in Need" organization has been operating in Ukraine since the beginning of August 2014, and since then, humanitarian programs have been expanding rapidly. At this time, "Lyudyna v bidi" is one of the main humanitarian organizations in Ukraine that provides neutral and independent humanitarian assistance to people affected by the conflict.

General information about the employee role:

Senior Support Specialist 400">specialist is responsible for the correctness and completeness of the provided information, ensuring the timely and effective implementation of the plan of the department/project style="font-style: italic; font-weight: 400">, immediately providing all necessary information to the Leading Emergency Specialist and contributes to the development of programs on South Ukraine.

Characteristic Duties and Responsibilities

  • Ensures timely and effective implementation of relevant measures throughout the assigned territory and prompt provision of all relevant information to the line manager; 

  • Responsible for leading the project team assigned to line management and supporting and building capacity accordingly. 

  • Responsible for accurate and timely collection of all fieldwork data and information;  

  • Manages the evaluation and selection of target locations and the selection of beneficiaries, including the identification and selection of appropriate partners to receive grants or in-kind donations from PIN, ensuring transparency and adherence to PIN procedures; 

  • Responsible for timely planning, preparation and effective execution of all program activities assigned to the responsible area and sector, in coordination with relevant departments (logistics, finance) and in accordance with PIN procedures; 

  • Regularly visits the project sites, monitors the progress of all activities and reports the results and any problems in a timely manner and directly to the manager;

  • After granting grants to partners, closely cooperates and supports partners in implementation planning and regularly monitors the performance of grantees' activities, its quality and impact on the quality of the PIN program;

  • Responsible for achieving project goals, participates in their monitoring and ensures data availability;

  • Identifies and tracks needs and gaps; 

  • Ensures constant monitoring of the situation in places and coordination with community representatives and local authorities in order to provide humanitarian assistance to communities. Timely reports on changes;

  • Provides information for the preparation of project proposals; 

  • When necessary, makes business trips to other locations to assess needs or distribute assistance;

  • Ensures non-disclosure of confidential PIN information and non-disclosure of personal data of staff/ beneficiaries/other persons that he/she received in the course of work.

  • Ensure implementation of all visibility guidelines for all program activities assigned to area of ​​responsibility and sector. 

  • Responsible for regularly updating the activity plan, regular descriptive reporting (monthly, quarterly, etc.) of high quality and in accordance with donor rules and templates. 

Documentation, reporting 

  • Ensures timely collection and submission of all project-related updates required for daily/weekly/monthly activity reporting, including field monitoring and evaluation reports, as well as external meetings and related activities;

  • Ensures regular data collection and completion of MEAL tools to track partner implementation progress; 

  • Ensures that all relevant project documentation is regularly archived in accordance with PIN archiving instructions; 

  • Prepares quality reports/plans/presentations of project results; 

  • Performs other necessary and appropriate tasks and duties as assigned by the regional coordinator. 

Description of general duties:

  • ensure timely and effective implementation of the department/project action plan and prompt provision of all necessary information to the immediate supervisor; 

  • ensure non-disclosure of confidential information of the organization and personal data of employees or third parties that became known in the course of performing official duties.

  • The employee is obliged to comply with the requirements of the Policy regarding local personnel and the Rules of internal labor procedures, to comply with safety instructions, fire safety, and other mandatory instructions and procedures related to his work.

  • The employer has the right to give the employee other tasks within the scope of his authority and specialization. In the case of urgent work and production necessity

  • In the case of a large number of different tasks to be performed by the Employee at the same time, the Employee must first perform the most urgent and important tasks.

Requirements for the candidate:

Education, certificates:

  • Higher education in the field of international development, economicsomics, social sciences, agriculture/livelihoods or related field.
  • Training in Project Cycle Management (PCM), MEAL, Livelihoods/Economic Recovery Programs or Cash Interventions preferred.

Experience:

  • Minimum 2 years of relevant experience in humanitarian or development programs.
  • Experience in livelihoods and/or early recovery programs.
  • Proven experience in implementing projects at the field level and supervising teams.
  • Experience in conducting needs assessments, beneficiary selection and partner/grant management.
  • Previous experience in international NGOs (INGOs) is an advantage.

Proven experience in:

  • implementation of projects at the field level;

  • supervision and line management of project staff;

  • coordination with logistics, financial and support units;

  • donor reporting.

Experience in conducting or management of:

  • needs assessments;

  • beneficiary selection processes;

  • monitoring of field activities and partners.

Experience working in fragile, conflict-affected or recovery contexts.
Previous experience in the same or similar geographic area.

English language:
Advanced level.

Professional / technical competencies:

  • Strong project planning, implementation and monitoring skills.
  • Ability to manage teams, coordinate with support units and ensure timely delivery of activities.
  • Experience working with partners and monitoring performance grantees.
  • Strong data collection, reporting and performance tracking skills.
  • Good understanding of principles of accountability, transparency and humanitarian standards.
  • Strong communication, analytical and organizational skills.
  • Willingness to regularly visit project locations.
