We are holding a competition for the position of "Senior expert of grant programs" to the team of the project on strengthening the energy efficiency and heat protection of educational institutions in border and front-line regions, in particular in Chernihiv, Sumy, Kharkiv, Dnipropetrovsk, Zaporizhzhia, Kherson, Odesa and Mykolaiv regions.

Within the framework of this program, a senior expert will contribute to the effective implementation, monitoring and quality assurance of the program of financial assistance to educational institutions for the 2025-2026 academic year. His role will be to ensure effective and timely use of funds, to provide schools and local authorities with timely technical recommendations and support.

Main responsibilities:

  • Supporting the coordination of the implementation of grants for schools in the target areas, ensuring timely exchange of information between national, regional and local authorities and participating schools. Providing clear guidance to schools and local administrations on procedures, participant requirements, documentation and deadlines.

  • Facilitating the development, adaptation and dissemination of implementation tools, templates, checklists and teaching materials. Maintaining up-to-date documentation on all aspects of program implementation, including grant disbursement, school participation and compliance requirements.

  • Providing support in the preparation of materials for introductory briefing and orientation for participating schools, local authorities.

  • Preparation and conducting of webinars. Providing follow-up support to clarify procedures, answer questions, and ensure common understanding of program guidelines. 

  • Regular interaction with local and regional authorities, school and kindergarten administrations, field representation teams and other relevant stakeholders. Participation in meetings, briefings and consultations, coordinating their implementation to ensure the smooth implementation of the project.

  • Monitoring based on documentation and on the ground (if necessary) to verify compliance with the requirements for granting grants, procurement and financial reporting standards. Reviewing documentation submitted by schools and local authorities to ensure completeness, accuracy and compliance.

  • Reporting: regular updates, summaries and analytical materials on implementation progress, challenges and risks. Participate in the preparation of consolidated monitoring reports and materials for reporting to donors.

  • Coordination and support of monitoring activities carried out by employees and third-party monitoring teams. Ensuring accurate documentation, tracking and processing of monitoring results. 

  • Ensuring quality control of all program processes, including grant allocation, communication materials, capacity building and results monitoring. 

in coordination, planning, management and research of programs and projects. Experience in education is an advantage.

  • Experience working with national and/or local authorities and educational institutions in Ukraine.

  • Experience in monitoring, reporting and data management, including analysis of documents submitted by beneficiaries or partners.

  • Understanding of the education system in Ukraine, including school administration procedures and local structure self-governance.

  • Experience supporting large-scale programs, funding/grant initiatives is an advantage.

  • Previous experience working in international NGOs or government agencies would be an advantage.

  • Strong interpersonal and communication skills, ability to interact effectively with school administration, local authorities, regional and field stakeholders teams.

  • Strong organizational skills, including document management, tracking and maintaining large data sets.

  • B2 level of English.

  • Leadership skills.

  • Readiness for business trips.
