POSITION OVERVIEW
Under the supervision of the Security Manager, the Security Assistant will be responsible for assisting the Security department with report writing, security analysis, and collection of data information, with a focus on maintaining and improving all department administration.
Security Assistant is guided in his/her work by this job description, standard operating procedures (SOP), and the current regulations of the FHI 360 branch in Ukraine.
KEY RESPONSIBILITIES AND DELIVERABLES
- Participate and assist in the production and updating of all Security-related documents for FHI360 Office in Mykolaiv (security reports, presentations, tracking sheets, etc. ).
- Performs clerical duties such as typing, note-taking, keeping electronic and paper documents stored, and assisting in the daily duties of the line manager.
- Participate in security assessment of territories and infrastructure objects; assist in the production of assessment reports.
- Search for information on request.
- Conducting physical verifications of all security-related equipment. Be responsible for First Aid Kits / Trauma Kits and Fire Safety at the FHI Mykolaiv office.
- Ensure the FHI security processes are applied and explained to all staff based and visiting the area, and update and display the emergency contact list at the office, and to all staff visiting the area
- Ensure the UHARP Emergency Phone Tree is updated, and relevant headcounts are done in a timely manner upon request.
- Ensure the access control to the premises and timely issuance of ID cards.
- Ensure a proper level of security preparations before movement on the field and support senior Security staff and the RC in setting safe movement rules which are adapted to the local context to support the security team in country.
- In collaboration with the Security Manager, facilitate in providing security briefings and training for all national and international incoming FHI staff in Mykolaiv with follow-up periodically or when applicable.
- Assist in preparation and submitting of Incident reports if incidents affecting negatively staff, assets or reputation of FHI360 happened.
- Facilitation in ensuring compliance and adherence to FHI360 security policies, guidance, and procedures.
- Perform other duties as requested by the supervisor.
DESIRED QUALIFICATIONS
- High School/GED Diploma or international equivalent
- 0-3 years of experience providing in a fleet or security setting.
- Articulate, professional, and able to communicate in a clear, positive manner with external actors and staff.
- Excellent PC skills, Microsoft Office 365 tools (Word, PowerPoint, Excel, Access, SharePoint, Skype/Zoom/Teams), Internet.
- Previous experience in a similar role with another Non-Governmental Organization is preferred.
- Ability to spend long hours looking at computer screens and doing repetitive work on a keyboard.
- Ability to sit and stand for extended periods of time.
- Ability to lift/move up to 5 lbs.
- Fluent in Ukrainian and excellent in English.
