Post purpose:
- The Security and Safety Consultant reports to the Security Manager and is responsible for implementing processes to effectively support the Security Department and security including, but not limited to, day-to-day liaison with HR/administrators, and monitoring and tracking management of all personnel in accordance with SCI guidelines and policies during scale-up of major emergency response and transition phases. This will include ongoing assessment of threats and risks to the SCI program/personnel and advising management on organizational risk management.
- SCI is a dual-mandate organization and will therefore give equal priority to both humanitarian and development work. SCI strives to ensure children's basic rights such as survival, safety, continued access to protection and education. As part of the commitment to work with children through humanitarian interventions, the SCI support program in both sudden and ongoing emergencies.
Main Responsibilities:
- As a member of the Safety and Security (S&S) team, the team supports the development of an organizational culture that reflects our mandate and values, fosters accountability and high performance, encourages a team culture of learning, creativity and innovation, and enables our staff to achieve outstanding outcomes for children and excellent customer service for our members and donors
- Acts as the person responsible for coordinating administrative support for S&S and liaises with internal departments SCI S&S Administrative Matters
- Provides effective support to international staff and visitors on safety tracking and monitoring, safety documentation management, working with HR / admin team and supply chain to ensure smooth coordination on S&S related matters.
- Provides guidance to HR/Admin regarding S&S processes
- Ensures the preservation and confidentiality of all documentation during internal and external communication, informing the appropriate department / management of the progress of administrative work related to S&S
- Provides staff support for the translation of documents as needed.
- Leads arrival support/welcoming new staff visitors, response team and prepares updated welcome/arrival package for staff on all S&S related matters.
- Assists with security audits and documentation evaluation, liaises with security managers at all locations in Ukraine and the regional office.
- Keeps records of travel and approvals and periodically updates the list of recommended hotels/flights in Ukraine together with the HR/Admin and SC teams
- Keeps efficient records (electronic and paper) of travel documents and reports - security tracking software
- Conducts administration orientation - especially regarding safety and support of staff travel in accordance with SCI guidelines
- Contributes to organizational learning and capacity building in the planned intervention and activity by providing feedback to the team on areas for improvement
- Uses all available policies, practices, checklists and guidelines and ensures that Save the Children good practices are in place.
- Provides the country office and central headquarters with regular and updated documentation related to S&S on a monthly, quarterly and annual basis or as required
- Ensures the application of security and safety strategy, boundaries, policies and procedures in the regional office in Ukraine.
- Communicates the requirements of the national Safety and Security Management Plan, which follows the adoption model but takes into account local realities and Save the Children standards

Qualification:
- Higher education, or equivalent experience
- Proficiency in Ukrainian, Russian and English is welcome
- A minimum of 1 year of security risk management experience in an NGO is required

This will include the ongoing assessment of threats and risk to SCI program/staff and provision of advice to Management to manage organizational risk.

KEY AREAS OF ACCOUNTABILITY:

- Acts as focal administrative support for S&S and liaises with internal SCI departments on administrative matters related to S&S

- Provides guidance to support and programs departments on SCI S&S processes
