The Proposal Writing Coordinator will be the primary coordinator for proposal development. This role ensures appropriate consultation with the URCS management and quality assurance team during preparation and submission. The coordinator will work closely with the Resource Mobilization team (RMU), technical teams (Sectoral leads, QCA (PMER, PGI & CEA), Program Operations, Strategic Partnership), and staff in Supply Chain, HR, Security, Finance, Project Management, and Awards.
Essential Tasks:
- Proposal Development:
- Serve as the main point of contact for proposal coordination with Resource Mobilization, Sectoral Technical Leads, partners’ technical advisors, QCA team (PMER, PGI & CEA), Programme Operations (for field team inputs, logistics requirements, costing, etc.), National Committee (NC) teams, Security, Awards Management, Finance & Awards, and HR (for staffing requirements) and flagship programs (Nursing College, Recovery initiatives, etc as relevant).
- Develop proposals and concept notes that meet URCS’s quality standards, aiming to successfully secure donor funding.
- Produce proposal development schedules and track timelines, ensuring and facilitating coordination among teams – Resource Mobilization, QCA, Programme Operations, Finance, Supply Chain, HR, and Security.
- Coordinate with relevant staff and provide additional requested information related to proposals and reports from donors and Movement Partners promptly and accurately, making necessary revisions based on feedback.
- Monitor open grant announcements that align with the URCS mission and activities and liaise with URCS units to identify the expediency and formats for proposal writing.
- Collaborate with the Finance and Project Management (Awards) teams, QCA and sectoral departments, Operations, Supply Chain, and relevant technical staff to develop proposal budgets.
- Ensure internal sign-off processes are undertaken in a timely manner.
- Represent URCS in proposal development meetings and discussions alongside technical experts.
- Coordinate Value for Money calculations in proposal development as required by donors.
- Draft key sections of proposals that are standard inputs, such as capability statements, country context, and Programme experience, drawing on the expertise of technical specialists, PMER, CEA/PGI, Operations, Finance, HR, and Security.
- Information Management:
- Ensure that all appropriate donor and Movement Partners’ formats for proposals are available to relevant staff and that there is a clear understanding of donor requirements.
Requirements
- Master’s degree in international development or adjacent field.
- 4 years’ experience in proposal writing skills
- Track record in projects I Humanitarian Response, Civil Society Strengthening or relevant development field
- Capacity to work with a multi-sector team and coordinate technical input into proposal.
- Ability to work rapidly with staff in the HQ directly and with field staff remotely in writing the proposal and where necessary revising the proposal(s).
- Familiarity with key donors such as EU/ECHO, USAID/BHA, FCDO, DFAT, GAC, and other international agencies requirements and capacity to work in a multi-donor environment
- Good program design skills, including capacity to prepare logical, coherent and consistent proposal with related budget and log frames.
- Fluent in English (both reading and writing).
