In Ukraine, WeWorld has been providing multi-sectoral lifesaving assistance since March 2022 in Lvov, Kyiv, Kharkiv, Kherson, Mykolaiv, and Odessa oblasts, as well as in newly liberated areas along the frontline, leveraging existing partnerships and capacity to timely identify and respond to the most urgent humanitarian needs. 

The Project Assistant will be based in WeWorld’s office in Mykolaiv with travels to WeWorld’s intervention sites within Ukraine. S/he will responsible for administrative and coordination tasks including, but not limited to, maintenance of project documentation, planning and preparation of field visits, assistance with database maintenance and reporting, and translation. S/he will be directly managed by the Programme Manager based in Kyiv. 

Time frame: 3 months. 

Area of Intervention: based in Mykolaiv with frequent travels within Ukraine, especially southern regions (security allowing).

MAIN RESPONSIBILITIES

  • Provide administrative assistance to project teams and WeWorld’s management in the planning and execution of projects.
  • Maintain project documentation, including contracts, reports, and correspondence with partners  donors. 
  • Assist in data collection, entry and maintenance of project and organisation’s databases.
  • Support in post distribution monitoring activities in the field, and other MEAL activities if requested by the line management.
  • Provide timely and accurate data and information, updating the internal tools established within the cluster’s coordination mechanism.
  • Report to relevant cluster data and information about WeWorld intervention in the country
  • Respond to project inquiries and requests for information.
  • Support the Logistics Manager with coordination of accommodation, travel arrangements and logistics for project staff or other stakeholders.
  • Assist with preparation of workshops, events, and/or trainings.
  • Make field visits in the areas of WeWorld’s intervention on a regular basis independently 
  • Develop and maintain appropriate, regular, transparent, and supportive communication structures with the assigned project staff of WeWorld and the partners, as well as other relevant stakeholders, with the objective of ensuring good cooperation and partnership.
  • Represent the organization with relevant actors and stakeholder in the area of operation.
  • Assist with interpretation between RU/UKR and ENG and translation of documents between RU/UKR and ENG and vice-versa. 
  • Perform any other duty requested by the line manager.

QUALIFICATIONS, EXPERIENCES AND SKILLS REQUIRED 

Mandatory:

  • University degree related to the advertised position,
  • Minimum 1 year of experience in a similar position with a national or international NGO, or 2 years of experience in a similar position in other sectors
  • Good knowledge of Microsoft Office package
  • Fluent Ukrainian and Russian 
  • Advanced level of written and spoken English
  • Ability to work under pressure and ability to develop and work within a team 
  • The capacity and willingness to be extremely flexible and accommodating in difficult and sometimes insecure working circumstances
  • Experience of and commitment to working in general humanitarian projects context

Desirable:

  • Experience in humanitarian assistance and/or development aid
  • Knowledge of the United Nations cluster system
  • Experience in Cash Assistance, WASH, Shelter and/or other sectors of humanitarian assistance
