The "Man in Need" organization has been operating in Ukraine since the beginning of August 2014, and since then, humanitarian programs have been expanding rapidly. At this time, "Lyudyna v bidi" is one of the main humanitarian organizations in Ukraine that provides neutral and independent humanitarian assistance to people affected by the conflict.

General information about the employee role:

Senior program is responsible for correctness the completeness of the provided information, ensuring the timely and effective implementation of the department/project action plan, and the preservation (archiving) of all assigned and received documents accordingly. bold">Description of general duties

The assistant reports to the Seniorstyle="font-style: italic"> specialist programs reporting to the Regional Manager for the South. He/she provides direct support to the assigned sectoral team and is required to provide information upon request and collaborate with departments such as Grants and Reports, Monitoring and Evaluation, or any other department that provides or is relevant to the implementation of PIN activities in the region.   local communities, etc.), as well as interaction and coordination with them in the region of subordination.  

  • Ensures prompt provision of all relevant information to line manager
  • Provides necessary information to plan, prepare and execute activities within;  
  • Supports all types of assessment and selection processes. 
  • Contributes to the organization and holding of meetings with all local actors - representatives of local authorities, communities, local NGOs, etc. 
  • regularly visits the project implementation sites, monitors the progress of all activities and reports the results and any problems in a timely manner and directly to the line manager; 
  • In cases of implementation of project activities in the region, the PIN directly, or with the involvement of partners, ensures the availability of, or monitors the timely and compliant with PIN standards, reporting in coordination with the Administrator.    
  • Carefully and correctly fills out all necessary project documentation. Enters data into beneficiary database as needed. Checks compliance with donor requirements; 
  • Administers the project database of beneficiaries, ensuring correctness and timely updating of information. 
  • Register and keep in order all documents submitted by Program Specialists. 
  • Help Program Specialists to check beneficiary data according to project goals. 
  • Prepare project data for coordination with other stakeholders.
  • Scan and archive project documentation.
  • Help ensure the integration of the project into the overall program of the sector.  
  • Displays and tracks needs and gaps; 
  • Enforces all established PIN security rules
  • Responsible for the correctness and completeness of the information provided
  • ensure timely and effective implementation of the department/project action plan and prompt provision of all necessary information to the immediate supervisor;
  • ensure non-disclosure of confidential information of the organization and personal data of employees or third parties that became known in the course of performing official duties.
  • The employee is obliged to comply with the requirements of the Policy regarding local personnel and the Rules of internal labor procedures, to comply with safety instructions, fire safety, and other mandatory instructions and procedures related to his work.

  • Requirements for the candidate:

    Education, certifications:

    • Bachelor's degree or professional education in a field relevant to the advertised position.

    Work experience:

    • Any relevant experience (including internships) related to administrative work, public service, social and community activities, event/event organization, humanitarian work, etc.

    English language:

    • Level - intermediate (Intermediate).

    Professional / Technical Competencies:

    • Proficiency in MS Word, Excel, PowerPoint, etc.
    • Basic Excel skills (spreadsheets, simple formulas).
    • Use of e-mail, shared drives and onlinetools for cooperation. 
    • Ability to master internal databases and information systems. 
    • Basic management of office administration (registration, correspondence, documentation management). 
    • Support of procurement processes. Help with logistics (organization of trips, events).

    Details of field trips

    • Regular field work covering Mykolaiv and Kherson regions.
