General information about the employee role:
Under the general control of the Senior Program Specialist, the Program Assistant is responsible for the correctness and completeness of the provided information, ensuring the timely and effective implementation of the department/project plan, and the preservation (archiving) of all assigned and received documents accordingly.General Responsibilities Description:
• Participates in weekly department operational meetings including reporting and work planning.

• Executes the approved plan implementation of the activity, informs the manager about the risks.
• Distributes information about project conditions.
• Monitors the dynamics of applications for participation in the project, offers ways to increase the effectiveness of information activities. conclusions
• Telephone interview: gathering and checking additional information.
• Field visit: checking conditions, collecting documents, drawing up a report with a reasoned decision on the grant.
• Participates in the Grants Decision Making Committee, justifies the position.
• Forms beneficiary cases, checks completeness of documents.
• Prepares an agreement on the provision of financial assistance (business grant), ensures signing and archiving, cooperates with the accounting department for payment.
• Receives and forwards complaints to the department head.
Documentation and Reporting
• Collects and submits project updates (daily/weekly/monthly), including monitoring and evaluation reports.
• Organizes documentation archiving, scanningand uploading to the ELO system.
• Contributes to the preparation of reports, plans, presentations of project results.
External Relations
• Represents PIN to stakeholders (international/public organizations, local institutions, government bodies, donors).
• Coordinates interaction with other organizations and local authorities.
• Informs supervisor of conflicts, duplication or gaps and proposes solutions.
