Photographer in Help – Hilfe zur Selbsthilfe Ukraine

Period of the contract: July 2025 with the possibility of prolongation.

To create photo and video materials of charity events and record the support received by beneficiaries, THE REPRESENTATIVE OFFICE OF HELP – HILFE ZUR SELBSTHILFE E.V. IN UKRAINE is looking for a Private Entrepreneur, who provides the services of photographer-videographer.

Duties and Responsibilities:

• Event photography, reportage photography, portraits in accordance with the corporate guidelines, from 30 photos per event, horizontal and vertical modes, minimum 1800 pixels on the smaller side, 300 dpi;
• Provide edited photos no later than the next day after the shooting, in some cases, if it is urgent, on the day of the shooting. Also, provide a backup copy of the original files;
• Create video footage of events or interviews in horizontal and vertical modes in HD or 4K quality;
• Provide video material edited according to the terms of reference and following the guidelines, with subtitles and logo, up to 3 minutes long for YouTube, and up to 1 minute vertical for Instagram, as well as edited in its clean version, and all footage in separate files no later than one week after the shooting. Depending on the number of interviews planned for the field visit, the number of video clips may vary from 2 (1 longer horizontal + 1 shorter vertical) to 4-10 if there are 4-5 stories to be filmed and the actual footage;
• Make sure that people in photos and videos have given written or recorded consent;
• Ability to meet deadlines.

Requirements:

• Registration of PE of the 3rd group of single taxpayers, with the corresponding codes of the Classification of Economic Activities or the readiness to register it if the candidate is selected as the winner; 
• Absence of tax debt;
• At least 3 years of experience in commercial photography and video production;
• Readiness to travel;

Qualifications and skills:

• Portfolio with photo and video works;
• Experience in shooting for social networks (Instagram Reels, YouTube);
• Knowledge of basic video editing programs (Adobe Premiere Pro, Sony Vegas, Final Cut Pro) and photo processing (Adobe Lightroom, Photoshop, illustrator);
• Availability of modern professional photography equipment (Camera, lens, lights, microphones, monopod. A drone will be an advantage);
• Communication skills with different segments of the population to record video interviews.

Recommendation letters, driver's license, and accreditation of the Armed Forces of Ukraine will be an advantage.

To be eligible to conclude the Agreement, the candidate must meet the abovementioned requirements. REPRESENTATIVE OFFICE OF HELP – HILFE ZUR SELBSTHILFE E.V. IN UKRAINE may request copies of documents confirming compliance with the requirements, namely: 

• Extract from the Unified State Register of Legal Entities, Individual Entrepreneursand Public Organizations;
• Extract from the information system of DPS bodies regarding the state of the payer's calculations with the budget and target funds;
• documents, confirming the experience;
• recommendation letters, driving license and a document, confirming accreditation of the Armed Forces of Ukraine (if any).

Qualifications and skills will be evaluated with the help of a scoring system. The candidate(s) with the highest number of scores will be chosen as the winner(s). Additional scores will be awarded for having letters of recommendation, a driver's license and accreditation of the Armed Forces of Ukraine.

Photo and video shoots are planned in advance, and every Monday, the trips and duration of work are agreed upon, on average, 3-6 shooting days per month, and approximately the same amount of time for editing and processing of materials.

The filming mainly accompanies the implementation or monitoring activities of the project, mainly in Kharkiv, Sumy, Dnipro, Zaporizhzhia, Kherson, Mykolaiv and Zakarpattia regions.

Based on the reports, acts of services performed are generated. Payment for the services performed will be made at the end of the month for the number of hours spent. 

The candidate must indicate in his/her СV the hour rate in EURO (shooting, processing, editing). Payment for the services rendered will be made on the basis of the Act of services rendered in UAH according to the official exchange rate of UAH/EUR set by the NBU on the date of signing the Act. The rate shall cover the Contractor's profit, all his/her obligations, taxes, etc., as well as all expenses (such as transportation, accommodation, food, and office expenses). If the candidate doesn’t live in the city of shooting, the work hours are calculated as an 8-hour working day.

Обов'язки та відповідальність:

• Фотографування подій, репортажна зйомка, портрети у відповідності до корпоративного гайдлайну, від 30 світлин на подію, в горизонтальному та вертикальному режимах, мінімум 1800 пікселів по меншій стороні, 300 dpi;
• Надавати відредаговані фото не пізніше як на наступний день після зйомки, в окремих випадках, якщо потрібно, терміново в день зйомки. Також надавати резервну копію оригінальних файлів;
• Створення відеоматеріалів подій чи інтерв’ю у горизонтальному та вертикальному режимах в HD чи 4К якості;

In order to obtain the right to conclude the Agreement, the candidate must meet the above requirements.  Separate division of HELP – HILFE CUR ZELBSTHILFE E.F. IN UKRAINE can request copies of documents confirming compliance with the requirements, namely:

• extract from the Unified State Register of Legal Entities, Individual Entrepreneurs and Public Organizations;
• Extract from the information the system of the DPS authorities regarding the status of the payer's calculations with the budget and target funds;
• documents confirming work experience;
• letters of recommendation, copies of a driver's license and a document confirming the accreditation of the Armed Forces of Ukraine (if available).

Qualifications and skills of candidates will be evaluated according to the point system. The candidate(s) with the highest number of points will be declared the winner. Additional points will be awarded for the presence of letters of recommendation, driver's license and accreditation of the Armed Forces. 

Photo and video shooting is planned in advance. Departures and duration of work are agreed on every Monday, on average it can be 3-6 shooting days per month, and additionally approximately the same time for installation and processing of materials.

Filming mainly accompanies the process of implementation or monitoring activity of the project mainly in Kharkiv, Sumy, Dnipropetrovsk, Zaporizhzhia, Kherson, Mykolaiv and Transcarpathian regions. 

On the basis of reporting, acts of services provided are formed. Payment for the services provided will be made at the end of the month for the number of hours spent. 

The candidate must indicate the hourly rate in EURO (shooting, processing, editing) in the resume. Payment for the rendered services will be made on the basis of the Act of rendered services in hryvnias in accordance with the official exchange rate of the hryvnia to the euro established by the NBU on the date of signing the Act. The rate must include the profit of Victhe tenant, all his/her obligations, taxes, etc., and all expenses (such as transportation, lodging, meals, office expenses). If the candidate does not live in the city of the shooting, the working time is calculated as an 8-hour working day.
