Given the inequalities faced by women and girls, the IRC aims to reduce gender inequality and ensure the social integration of all vulnerable groups into the wider policies, processes and actions that affect their lives. the whole country The purpose of this role is to support personnel management specialists and other employees of IRC Ukraine in document management and implementation of personnel administration processes in accordance with Ukrainian legislation and internal policies of the organization. The HR Assistant is a member of the central team and can work in a hybrid mode.

Main Responsibilities

  • Perform daily routine operations related to the functions and responsibilities of the HR department;
  • Provide administrative and clerical support;
  • Create and update employee personnel records;
  • Update personnel trackers (vacation accounting, personal information, insurance, general database of employees, etc.);
  • Prepare draft orders, employment contracts and other documents related to personnel;
  • Support personnel management specialists in solving routine requests of employees regarding personnel issues, rules and procedures;
  • Process documents in accordance with the requirements of the current labor legislation of Ukraine and the electronic document management system IRC Ukraine (employment contracts, service contracts, orders, letters, etc.);
  • Assist the HR manager with providing information for the formation of wages (providing relevant data - absence, bonus, vacation, etc. - and information regarding remuneration under service contracts);
  •  Process annual and other types of leave.

Skills and qualifications required for the position

  • 1+ years of experience in the field of human resources / administration.
  • Excellent communication and organizational skills.
  • A confident level of mastery of MS Office.
  • In-depth knowledge in the field of record keeping and working with documents.
  • Knowledge of labor legislation.
  • Experience in working with HR software, databases and management systems.
  • English level - average or below average, fluent in Ukrainian language.

Preferred Qualifications

  • Bachelor's Degree in HR or Social Science (or related field).
  • Experience with HRIS and databases.
