Under the direct supervision of the Partnership Coordinator / Area Coordinator/ Project Manager/Partnership Project Officer the Partnership Project Assistant for Sub-Grants will mainly be involved in the coordination of the implementation of the grants by local CSOs / self-help groups / local business entities. 

The Project Assistant will support the project team with administrative tasks, organization of meetings/trainings/events, development of internal and external communication materials, document verification, etc. 

 S/he will work with local authorities, international organizations, CSOs etc.

Functions:

  • Participate in internal/external meetings under the guidance of the line manager / Project Officers / Coordinator.
  • Support the implementation of tasks assigned by the line manager / Project Officers / Coordinator.
  • Support team members in supervision of project implementation.
  • Support team members in conducting regular spot-checks of FLAT documentation and processes to identify possible gaps or breach in procedure follow-up with grant CSOs.
  • Support team members in cooperation with local authorities, international organizations, CSOs.   
  • Participate in the planning and development of project communication, coordination and implementation activities in designated areas.
  • Organize meetings and trainings with different stakeholders. 
  • Monitor the progress of activities according to the work plan and project requirements. 
  • Support any activities related to project implementation and reporting. 
  • Ensure visibility of Acted, donors in all activities, in compliance with Acted Global guidelines.
  • Assist project officers in sub-granting process to ensure Acted partnership approach and respect FLATS procedures.< /li>
  • Excellent liaison with other Team Members, ensuring consistency and coordination of activities in the center.
  • Timely reporting on problems and challenges while working.
  • Support MEAL activities during monitoring and evaluation activities of project implementation.
  • Assist in identifying best practices throughout the implementation period of the project.

Logistics:

  • Send accurate and precise order forms in a timely manner if requested by the line manager
  • Confirm quality of material selection when applicable
  • Plan movements based on availability fleet and applicable policies

Finance:

  • Support the linemanager in reviewing the BFU(s) and provide accurate forecasts

HR:

  • Commitment to continuous learning through trainings and timely identification of capacity-building needs and opportunities, in coordination with line Manager/TC/HR Dept.  

Transparency and Compliance: 

  • Ensuring compliance to Acted internal procedures and donor procedures
  • Accurate record keeping of project documentation, including photos and proper filing of meeting minutes, databases, attendance sheets, assessment reports/documents, review and updating of databases etc., in soft and hard copy

Others:

  • Provide translation of various documents (e.g. reports, minutes, beneficiary lists, information signs ) upon request of the line manager 
  • Perform any additional task as requested by the line manager.

Key Performance Indicators:

  •  Number of CSO reports submitted on a timely and monthly basis
  • Visibility of ACTED, donors and partners are ensured in all activities, in compliance with ACTED Global guidelines
  • FLATS procedures are respected
  • Best practices are identified and formalized throughout the CSO implementation period
