We are looking for an assistant operations director to join our team, who will provide high-quality administrative and organizational support of the manager.
Main duties:
1. Administrative and organizational support
2. Coordination of the company's internal processes
- Collection of operational information from facilities and structural divisions (personnel, logistics, warehouse, accounting).
- Formation of summary tables, KPIs, short reports for management.
- Control of deadlines for the completion of tasks by responsible employees.
3. Work with documentation
- Preparation and editing of contracts, acts, report cards (together with responsible departments).
- Storage and systematization of documents in digital archives.
- Preparation of presentations, commercial proposals and internal materials.
4. Communication
- Communication with heads of units and facilities regarding the tasks and priorities set by the director.
- Working contacts with clients within the scope of assignments.
- Maintenance of work chats and coordination of information flows.
5. Analytical and managerial support
- Collection of statistics on personnel, costs, facilities, financial data (within access limits).
- Preparation of proposals for optimization of processes.
- Participation in planning workload, resources and operational tasks.
Requirements for the candidate:
- Experience as an office manager, assistant manager, business assistant or coordinator.
- High organization, punctuality and responsibility.
- Developed communication skills, ability to work with a large amount of information.
- Proficient in Excel and Word (tables, formulas, reports).
- Ability to work in multitasking mode.
