As Operations Coordinator, you will play a key role in our team, responsible for strengthening the effectiveness and innovation of our educational activities. Your work will have a direct impact on daily operations, process development and the organization of important training events for clients. Your primary goal is to ensure that operations run smoothly, support our values and culture, and continually improve our operational activities. As the driving force of our team, you ensure smooth communication and effective management of team tasks. Your actions are crucial to maintaining our team as a cohesive and efficient body, where each member feels heard and their work is effectively coordinated. You will be responsible for designing and implementing new operational processes that will improve delegation and work, and by collecting and analyzing data you will measure the effectiveness of the implemented solutions, which will allow for continuous improvement, optimization of our processes, development of employee skills, greater profit for the company and cost reduction. Your organizational skills will also be used when planning and implementing workshops and educational events. You will work with various teams to ensure that each training is not only a source of knowledge, but also an inspiring experience for all participants. Key responsibilities: Managing daily communication and team tasks. Support in creating operational processes, structures, compliance and quality standards in the company. Scheduling meetings, organizing documentation and preparing reports. Collecting and analyzing operational data to support decision-making processes. Handling customer communications, managing meeting schedules and monitoring customer interactions. Supporting the organization of workshops and events, managing logistics and engaging participants. Coordinate with vendors and service providers to ensure operational needs are met in a timely manner. Support in recruiting new employees and creating processes to facilitate the recruitment process. What we expect: Excellent organizational skills and proven ability to effectively manage multiple tasks, projects and a team. Very good knowledge of spoken and written English (minimum B2). Flexibility and adaptability in a rapidly changing environment. Proficiency in using modern digital office tools, including AI tools, for example: Monday, ChatGPT, CRM (AirTable, HubSpot or others), Slack. Excellent withusing Google Sheets to create processes and standards and measure KPIs data to improve efficiency and performance. Interest in continuous personal and professional development. Ability to work in a team, promoting a supportive and challenging work environment. Deliverables: Understanding of Team Processes and Schedules - Ensuring that the entire team has a clear understanding of applicable operational processes and established schedules. Thanks to this, each team member will know exactly what is expected of him and when. Increased Team Effectiveness - Thanks to strategic planning and better use of team resources, the volume of work performed by the team will increase and team members will be able to perform their tasks more effectively, which will increase the company's financial results and job satisfaction among employees. Increased Team Competencies - You will strategically plan, create and implement internal "PlayBooks" for all departments in the company to optimize the onboarding of new employees and develop the competencies of current ones. Optimization and Improvement of Operational Processes for the Company's Profit - Introduction and implementation of improvements in operational processes that will contribute to increasing the overall efficiency of the company's operations, reducing risk and increasing the profit margin. By continuously measuring and analyzing the effectiveness of processes, the Operations Coordinator will identify areas for optimization and introduce the necessary changes. Planning and Coordination of Workshops and Events - All workshops and educational events will be planned and coordinated at least 30 days in advance. This will allow for effective resource management and attracting the appropriate number of participants.
