Your scope of responsibilities:

  • Providing substantive and organizational support for Members of the Management Board < /b>
  • Managing the calendar of meetings of Management Board Members - arranging meetings, setting priorities and confirming the agenda of selected topics
  • Participating in business meetings and preparing summaries , reports and notes of arrangements and decisions
  • Initiating HR projects and supporting their preparation and implementation
  • Taking care of proper circulation of documents in the office including: receiving, sending and registering correspondence and parcels, registering invoices, preparing documents, letters, filling out forms related to the daily functioning of the company
  • Creating procedures, building high standard of office management and ensuring compliance with the rules and discipline consistent with the organizational culture
  • Preparing work tools together with the IT and HR departments and onboarding new employees
  • Creating reports, summaries, analyzes of commissioned projects, including recording documents in Excel and in paper version
  • Preparing official letters and official announcements< /li>
  • Organization of business trips for employees and the Management Board
  • Preparation and coordination of corporate events, special events, training, meetings, conferences, participation and organizational preparation of fairs and events
  • Organizing supply art. food, office and property
  • Receiving guests waiting for a meeting with the Management Board - serving coffee, tea, preparing refreshments
  • Supervision of compliance with order
  • Performing current tasks assigned by the Supervisor

Our requirements:

  • Min 4 years of experience in a similar position supported by experience in office management and arranging admin processeswork and office management, including communication management and organization of work and space
  • High personal culture, good work organization, commitment, punctuality, business presence , ability to set priorities in tasks , readiness to work under time pressure, creativity and unconventional, proactive thinking
  • Knowledge of English at C1 level
  • Proficient use of the MS Office system (especially Excel) and office equipment
  • Category B driving license
