We are looking for an enthusiastic and organized Office Manager to join our team in Kyiv. This role combines managing all office-related activities and promoting Sombra within the Kyiv IT community.

Key Responsibilities:

  • Office Management:
    • Ensure the smooth operation of the office, including planning, procurement of equipment, and management of layouts and office systems.
    • Manage office supplies inventory, placing orders as needed.
    • Maintain the condition of the office and coordinate necessary repairs.
    • Provide administrative support, including scheduling group meetings, maintaining calendars, conducting research, and preparing reports.
    • Perform receptionist duties: greet visitors, answer and direct phone calls.
    • Address employee inquiries regarding office management issues, including stationery, hardware, and travel arrangements.
    • Assist the manager in preparing letters, presentations, and reports.
    • Visit the office 4-5 times a week to ensure hands-on support.
  • Community Engagement & Events:
    • Actively participate in office life, including organizing events, meetings, and outside working meetings.
    • Plan and coordinate company events, conferences, and social activities.
    • Support HR marketing initiatives and help promote Sombra within the Kyiv IT community.
  • Vendor & Relationship Management:
    • Manage relationships with vendors, service providers, and landlords, ensuring all invoicing and payments are processed on time.
  • Onboarding & Support:
    • Assist in the onboarding process for new hires, ensuring a smooth and welcoming experience.

Requirements:

  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and manage a variety of office and administrative tasks.
  • Experience with event planning and community engagement is a plus.
  • Familiarity with office software and tools.
