Job description:
The program specialist works closely with the manager and technical leaders to provide support to the field team (Psychologist and Psychological Team). He/she ensures the appropriate quality of services and solutions to all team needs.
Main Responsibilities
- The program specialist reports to the Manager. He is responsible to the beneficiaries and the International Medical Corps for the quality of activities and services within his area of responsibility.
- Working closely with the program manager to understand the program, goals and objectives, and to get used to the strategy of the mental health and psychosocial support of the International Medical Corps; coordinating with relevant staff in the field as well as at the site level and gathering information on needs and gaps to facilitate new program development.
- Assist in ongoing assessment and analysis to understand staffing needs according to the program and the diverse needs of beneficiaries, mapping service points and identifying partners.
- Develop and present detailed and updated program implementation plans, including work plans, HR and procurement plans, training plans to support the achievement of program goals, objectives and activities.
- Support in the organization and provision of training to the International Medical Corps program and partners to develop and update training plans submitted monthly.
- Working on updating the matrix of the location of the Department of Mental Health and Psychosocial Support (hereafter MHPS) of the International Medical Corps for work stations on a monthly basis and attending meetings of MHPS working subgroups at the assigned location.
- Preparation of invitations and attendance sheets and recording of working hours required forworking group tapes (in the absence of an assistant in the office)
- Supporting the Manager in monitoring activities and managing field personnel in relevant aspects of the program, such as tasks, activities, goals, indicators, the quality of the services provided, ensuring the planned implementation of the program and meeting all the needs and requirements of the program at the field level.
- Attending International Medical Corps trainings, if such trainings are planned and conducted.
- Preparation, participation and document approval of Technical meetings with the Social Work Manager in coordination with the team leader (if necessary).
- Attend regular weekly or bi-weekly meetings with the Program Manager.
- Visiting the program sites and locations at least 50% of their working hours to provide staff support, assess the situation and coordinate with local participants, conduct a team meeting to discuss information updates for the field program and policy teams, and tracking implementation and performance quality.
- Planning and organizing needs assessment to improve proposal development with accurate information.
- Facilitating reporting and updating ITTs based on weekly / monthly and quarterly reporting and ensuring appropriate distribution and access.
- Retrieving success stories from field teams, translating into English, editing, presenting and submitting monthly/quarterly reports.
Other tasks as requested by supervisor based on program needs.
Requirements for Candidates
- Bachelor's degree in social work, psychology, education or other related fields.
"font-weight: 400">Strong written and oral communication skills in Ukrainian/Russian and English. The possibility of short-term business trips to project sites and other government institutions if necessary.
Excellent interpersonal, written and verbal communication skills.
Strong organizational skills to management skills.
Demonstrated ability to work in a team, in a multicultural environment, prioritize tasks, meet deadlines and ensure quality work
PC knowledge with demonstrated experience using Microsoft Office,rema, Word, Excel.
