Logistics Planning Specialist (maternity leave position - 1.5 years)

You will plan and manage inbound and outbound logistics to ensure timely and appropriate supply to our customers in Ukraine. You will work closely with internal teams, logistics partners and regulatory colleagues to solve problems and improve processes. We appreciate organized, inquisitive and team-oriented people. Key Responsibilities:

• Ensuring timely deliveries of pharmaceutical products to the local warehouse in Ukraine; inventory management analysis to maintain the target inventory level; management and minimization of deficits in order to achieve KPI.
• Checking, preparing and providing correct documents for customs clearance; coordination and control of the customs clearance process.
• Control of the import supply budget and minimization of logistics costs, optimization of costs for brokerage operations.
• Interaction with Trade Compliance to ensure the correctness of import and customs clearance of products; preparing information for QBR and verifying brokerage report from service provider.
• Conduct monthly VO (Visual Office) meetings to present all possible risks related to GMP, regulatory changes and other issues to avoid them in time.
• Updating contracts with suppliers and preparation of additional agreements in case of price changes.
• Planning and control of costs for customs and brokerage services (Cash Flow).
• Maintenance and control of the report on transport costs during import.
• Participation in projects and providing an expert assessment to the Head of the Logistics and Distribution Department as needed.
• Timely escalation of problems related to temperature deviations, shortages, losses, thefts.
• Preparation of import documents and support for the delivery of demonstration samples; import, acceptance of reagents and their transfer to the Pharma Center.
• Settings in SAP when launching new products to the market, optimization of logistics and Supply Chain settings in the system.
• Download and update of the report (Actual Stock) on the balance in warehousesto inform key stakeholders.
• Preparation and monitoring of monthly reports for accounting/financial operations at the end of the month.
• Coordination of contracts, SLR (service level requirements) and additional agreements for services (cargo insurance, logistics operations).
• Prepare documentation for obtaining an aerosol license from government agencies.
• Maintain and submit reports to government agencies annually or as required by controlled substance operator status.
• Update SOPs, policies and work instructions for import and transportation of goods.

Qualification requirements:

• Higher education (logistics, finance, economics or other technical specialty).
• Experience in a similar position — at least 3 years; experience in an international pharmaceutical company is desirable.
• Fluency in Ukrainian and English (oral and written) is a must.
• Confident user of Excel, MS Office, Outlook; PC; knowledge of 1C and SAP will be an advantage.
• Analytical mindset, attention to detail, responsibility, conscientiousness.
• Good oral and written communication skills.
• Ability to work in team.
• Willingness to learn and develop.
