General information about the position
Under the general direction of a specialist with logistics, the logistics assistant is responsible for the effective provision of operational support to the mission to ensure timely and high-quality service to the programs and beneficiaries of the mission of the organization "Man in Need" (PIN) in Ukraine. The Logistics Assistant performs a variety of tasks related to logistics planning, provides administrative support for event planning, and office administrative support. normal">Organization of purchases:
- Conducting various events (round tables, trainings, workshops, etc.);
- Finding premises for team meetings taking into account the requirements of donors;
- Create contracts with contractors (premises, catering, etc.);
- Control the procurement processes of requests at all levels;
- Coordinate locations with the PIN security department;
- Provide timely feedback to the requester at all stages of procurement organization.
Adm managementadministrative issues of the office and service apartments:
- Organization of regular procurement for the office (delivery of water, Internet, consumables, hygiene items, medical equipment and protective items);
- Carry out surveying employees to improve work in the office;
- Organize cleaning in the office;
- Maintain communication with landlords regarding checking utilities meters in apartments and in the office, repair work, in any emergency, etc.
Organization of accommodation:
- Organize accommodation for colleagues/guests, at the same time maintain a schedule of accommodation in official apartments, or order hotel rooms, book additional apartments;
- Communicate with guests regarding their logistical inquiries during their visit;
- Communicate with hotels regarding payment invoices and other necessary documents.
Organize transportation support:

- Track all related (office and service apartment rent, rendering material suppliers, translation service providers, etc.) contracts, expenses, transactions, related documentation and process in ELO.
- Make payments, advances, and close advances only after receiving complete and correct documentation, which has all the confirmations and necessary signatures
- Makes acts and reports for the accountant regarding FOP payments - monthly.
Makes and submits to the accounting department Payment Approval Forms for each payment made from a corporate bank card (weekly) - Be materially responsible for entrusted monetary values.
- Upload lease agreements and their annexes, other contracts and financial documents to the ELO electronic archive.
- Responsible for monthly rent payments and communication with apartment owners.
Assets Coordination:
- Ensure proper management of all assets (documentation and information).
- Ensure asset labeling, availability and operation of asset database, track asset movement, disposition, donation, theft/loss, write-off and follow appropriate procedures.
- Ensure that asset liability, asset transfer, and return upon contract termination paperwork is signed, understood, and properly executed.
- The employee is responsible for the preservation and proper use of the material assets of the organization assigned to him. The employee is also responsible for the quality, completeness and quantity of the received goods, as well as for the quality and appropriateness of the accepted works and services. In case of receiving poor-quality and/or incomplete and/or in an inappropriate quantity of goods, as well as receiving poor-quality and/or improperly performed/provided works and/or services, the employee is responsible within the limits stipulated by the current legislation and internal regulatory documents of the organization.
Experience and qualifications required
- Higher education in the relevant field
- Excellent computer skills, Excel, Word skills;
- Experience in logistics or procurement for 1 year;
- Good communication and interpersonal skills;
- Proficiency in English at a basic level;
- High level of attentiveness and responsibility;
- Flexibility and openness to change.
