Information Management is the ability of organisations to produce, capture, manage, preserve, store and deliver the right information to the right people at the right time, regardless of the source or format. It encompasses all stages of the life cycle of documents, including their destruction.

Essential Tasks: 

IM (Information Management*) Development

  • Develop strategic and operational plans for IM.
  • Be responsible for and coordinates IM at URCS at all stages of the information cycle.
  • Act as the focal point for all IM activities (e.g. capacity building, IM mapping, IM assessments)
  • Incorporate best practices in IM for organisational development (at the levels of departments and branches).
  • Work with the URCS’s departments to map their processes and provide visual and data management products.
  • Develop information management protocols and policies to guarantee business continuity, preserve institutional memory and abide by information security best practices.
  • Ensure ownership of the data through the appropriate SOPs.
  • IM staff management and staff development.
  • Represent the URCS in IM global and national forums.

IM day-to-day

  • Identify key decision-making information needs across URCS projects and departments.
  • Manage a team of IM officers
  • Prioritize work within the IM team and manage expectations from (internal) stakeholders
  • Create and maintain analysis plans to inform these decisions.
  • Provide support on IM to the relevant head of departments and project coordinators.
  • Maintain and improve appropriate data systems to capture data to inform programmes planning and functioning.
  • Ensure appropriate data collection to support the monitoring, reporting and accountability of programmes (including output trackers and indicators in One Country Plan).
  • Develop, maintain data policies and protocols (including retention, disposal and security) are in place, applied and monitored.
  • Ensure information management processes, tools and capacity are up-to-date, reviewed regularly and fit for purpose.
  • Capacity building in IM for URCS staff including branches across the country.

Ensure coordination of information and data flows between different departments within URCS, between Movement partners as well as relevant external agencies

Requirements 

  • Master’s degree or equivalent in computer science, IT, data analysis, or a related field.
  • Minimum of 3 years of experience in information management or data analysis with an International Humanitarian Organisation.
  • Experience/knowledge in mobile data collection (Kobo Toolbox, MS Form, etc.)
  • Knowledge of data management and organisational data flows.
  • Experience in data analysis, visualisation and GIS tools, such as Power Biand QGIS.
  • Experience with data management techniques, data collection and analysis.
  • Experience in training and supporting staff.
  • Analytical and communication skills and ability to assimilate and process information for wide-ranging audiences.
  • Documentation preparation/presentation and computer-based production skills.
  • Proficiency in reading, writing, and speaking English and Ukrainian.

Responsibilities:

Development of IM (information management*)

Daily work in the field of IM

  • Identify the key information needs for decision-making in projects and departments of the TCHU.
  • Manage a team of international relations employees
  • Define teamwork priorities and manage expectations from (internal) stakeholders
  • Create and maintain analysis plans for decision-making.

  • Provide MI support to relevant department heads and project coordinators.
  • Maintain and improve relevant information systems to collect data required for program planning and operation.
  • Ensure proper data collection to support momonitoring, reporting and program accountability (including outcome trackers and indicators in the Single National Plan).
  • Develop, maintain, implement and monitor data policies and protocols (including retention, destruction and security).< /li>
  • Ensure that information management processes, tools and capacity are up-to-date, regularly reviewed and fit for purpose.
  • Build information management capacity for UDCR staff, including branches across the country.< /li>
  • Ensure the coordination of information and data flows between different departments within the TCHHU, between partners of the Movement, as well as relevant external institutions.

Requirements: < /p>

  • Master's degree or equivalent in computer science, information technology, data analysis or related field.
  • Minimum 3 years of experience in information management or data analysis in international humanitarian organization.
