ABOUT THE ROLE
Assistant on data management issues (Information Management Assistant, IMA) supports the Information Management and Cash and Basic Needs teams in data analysis and making payments to beneficiaries, ensuring compliance with safeguarding standards. The worker will verify registration details on a daily basis and provide support in disbursing cash assistance to beneficiaries through various financial service providers. The position also involves participation in monitoring processes to ensure their safe and correct implementation.
KEY DUTIES
- Ensure timely and accurate data entry into relevant databases data.
- Perform deduplication, cleaning and validation processes of registered data.
- Make payments to beneficiaries through various financial service providers (FSPs).
- Perform top-ups and reconciliations for financial reporting.
- Follow up on registration data and transaction issues.
- Prepare numerical and graphical reports on a weekly, monthly and quarterly basis to track performance.
- Ensure quality data management, including customer counts, in coordination with the Cash and Basic Needs Coordinator and the Information Management team.
- Test and modify existing data collection tools.
- Provide ongoing support to Cash and Basic Needs team staff in data collection and use of tools data collection.
- Act as a point of contact for communication with Cash and Basic Needs team staff when necessary.
- Work with the Customer Feedback team on responses to customer feedback.
- Contribute to timely communication of issues and needs at the field site level.
- Conduct field monitoring visits and prepare reports.
- Provide support to other departments in related tasks within working hours and available resources, in accordance with the division of duties approach.
- Adherence to security standards (Safeguarding).
additional technical training or certification in data management would be an advantage. Education or experience in computer science and/or data analytics is preferred.
Work experience:
- Experience in humanitarian programs will be an added advantage.
- Experience developing and managing databases, performing statistical analysis and preparing reports.
- Experience with Commcare, RedRose or similar data collection tools (Kobo Toolbox).
- Good reporting skills in Excel and extracting information from databases.
Existing skills and competencies:
- Demonstrated ability to work effectively in a diverse and multidisciplinary team environment.
- Good knowledge and skills in Microsoft Excel, including creating tables and forms, analyzing data, using pivot tables, and creating/visualizing data in a spreadsheet format dashboard.
- High attention to detail and excellent data entry and processing skills.
- Excellent communication and presentation skills.
- Demonstrated understanding and ability to maintain confidentiality and respect for clients/beneficiaries
- High level of flexibility and excellent ability to organize work, meet deadlines, stress resistance, prioritization work under pressure, coordinate multiple tasks at the same time and maintain attention to detail.
- Positive and professional attitude, including the ability to coordinate and work in a team.
- Language skills:
Fluency in Ukrainian and good English.
KEY WORKING INTERACTIONS
Internal IRC cooperation with: Cash and Basic Needs Coordinator, Cash Assistance Program Manager and Basic Needs Manager, Cash and Basic Needs Officer, Monitoring and Evaluation Manager (MEAL Manager). Support timely communication of challenges and needs at the level of field locations.
