For the time being Kyiv will remain an unaccompanied post and family members will not be relocated with the incumbent.As the Information, Knowledge, and Management (IKM) Coordinator for the NATO Representation to Ukraine (NRU), you’ll provide support and ensure that centralised and coherent IKM procedures and best practices established by the IKM Governance are followed. You will work closely with the Administrative Officer (AO) and the IKM team at NATO Headquarters (HQ).Under the supervision of the Head, Finance and Administration you will organise and process digital information, provide procedural and tools training and support, as well as registry and hands-on IKM training and reference services for NRU staff. You will be part of the IS IKM Network.As a priority, you carry out other information and knowledge management tasks as defined for the IKM Network when required by the IKM Governance. The main functions of this role will include to: Provide IKM support to staff within the NRU in accordance with IKM procedures and guidelines; Implement IKM best practices, in particular those pertaining to tools, information and knowledge organisation, accessibility and flow; Provide procedural and IKM tools support, such as: tools for managing taskers; collaboration; and document and records management; Carry out registry tasks by managing the receipt, dissemination, and handling of NATO information, maintaining strict confidentiality and version control; Produce and present relevant reports and statistics; Be the point of contact for IKM enquiries within the NRU and liaise with other IKM staff within the IS and across the NATO Enterprise to leverage knowledge; Provide constructive suggestions to effectively and efficiently leverage the existing IKM tools and procedures; Perform any other related duty as assigned. This role sits in the Executive Management (EM) Division, within the Archives & Information Management (AIM) Section of the the ICTM Directorate. The mission of Executive Management's (EM) is to enable NATO's relevance by providing management and support services to NATO HQ.Find more information about the division here .Based in the NRU, you report to the Head, Finance and Administration through the AO . You also have a strong relationship with central Archives and Information Management Service (EM(ICTM)AIM) and a dotted reporting line to the Head IKM Competency Centre within AIM.The requirements for the role are the following: A good general education at least to secondary level; At least 4 years' previous experience in a relevant area for the position; Experience with ICT systems, office software packages, including SharePoint, and their application to document processing and recordkeeping; Experience in managing information and knowledge throughoutits life-cycle; Experience in IKM tools, such as document and records management systems; Strong drive for teamwork, customer service attitude, and flexibility; Have the capacity to learn and adapt to a fast-pace environment; Proactivity and multi-tasking skills; Ability to prioritise a wide-range of competing demands, from various customers (including senior officials) andprovide high-quality service; Levels of NATO’s official languages (English/French): V (“Advanced”) in one; and II (“Elementary”) in the other; It will be considered an advantage if you: Posses experience in the management of sensitive or security classified information whilst demonstrating discretion at the highest levels of ethics and integrity; Demonstrate strong drive for teamwork, customer service attitude, and flexibility. The key competencies for the role are clarity and accuracy, customer service orientation, empathy, flexibility, initiative, organisational awareness, and teamwork.CONTRACTContract to be offered to the successful applicant (if non-seconded): Definite duration contract of one year; possi bility of renewal for up to one year. Contract clause applicable:This post is required for a limited period to support a project. As employment in this post is of limited duration, the successful applicant will be offered a definite duration contract of one year’ duration, which may be renewed for a period of up to one year if required to support this project.If the successful applicant is seconded from the national administration of one of NATO’s member States, a one year definite duration contract will be offered, which may be renewed for a period of up to one year if required to support this project, and subject also to the agreement of the national authority concerned.Serving staff will be offered a contract in accordance with the NATO Civilian Personnel Regulations.NOTE: Irrespective of previous qualifications and experience, candidates for twin-graded posts will be appointed at the lower grade. Advancement to the higher grade is not automatic, and will not normally take place during the first three years of service in the post.Under specific circumstances, serving staff members may be appointed directly to the higher grade, and a period of three years might be reduced by up to twenty four months for external candidates. These circumstances are described in the IS directive on twin-graded posts.
