Caritas Switzerland is one of the leading Swiss NGOs in the field of poverty reduction in Switzerland and abroad. International Cooperation programmes focus on humanitarian aid, income generation, climate change and migration. Within the Ukraine Crisis Response, Caritas Switzerland works through local implementing partners, taking the localization of aid approach in its response, and focus on bringing technical value-add specifically in the fields of livelihoods, protection, shelter, WASH.Caritas Switzerland is planning to launch two new projects – together with our two national partners. The multisectoral and integrated projects, focus on providing comprehensive packages of support to conflict affected people in the East and South of the country. The sectoral focus of the project is shelter, protection, and MHPSS. The projects are built upon well-established partnerships, and successful previous project phases.PurposeCaritas Switzerland is seeking a dynamic and experienced humanitarian programme coordinator. Reporting to the Head of Programme or Country Director, the primary objective of the programme coordinator will be to ensure successful delivery of the assigned portfolio of projects. This is achieved through support to, and monitoring of, project partners through all stages of the project cycle, ensuring overall quality – with the support of Caritas Switzerland technical team. Success in this role will require close and effective collaboration with our project partners.Anticipated start date: July 2024Duration: 1 year with a possibility of extension – depending on funding.Workload: 100%DutiesProject ManagementDevelop and oversees project’s operational plan, budget, and reports. Facilitate project management meetings or workshopsManage the project budget, ensuring funds are allocated and spent efficiently in line with Caritas Switzerland and donor financial requirementsOversee the development of project plans, schedules, and work plans, coordinating activities and participating in project activities/meetings to ensure project progressionPrepare detailed reports on project activities, outcomes, impact and best practicesMonitoring and EvaluationMonitor the project progress and ensure that the project remains within the agreed scope, budget and scheduleIn close cooperation with the Programme Quality Advisor, evaluate the impact of the project and contribute to the development of new initiativesSupport the maintenance of project quality standards through the tracking of progress and the identification of any issues that may ariseProactively Identify risks and mitigation strategiesPartner capacity development supportCoordinate the provision of technical support, from Caritas Switzerland technical advisors, for project partners. This may include a process of identifying support needs, developing plans, and overseeing their deliveryProvide direct guidance and capacity development support – in line with project and partner prioritiesNew Project DevelopmentContribute to, or lead, project design and proposal development processes – in line with Caritas Switzerland donor, partner priorities – based upon learnings from existing projectsOtherParticipate in relevant cluster meetings or other coordination or information mechanisms as necessary, feeding key information back to the programmes teamEnsure project files are up to dateOur requirementsEducational BackgroundA minimum of a bachelor’s degree in a relevant fieldCertification in Project Management is highly desired (PMP or PRINCE2)Professional experienceAt least seven years relevant experience – particularly in the areas of project and/or partnership management. Strong preference for experience in humanitarian programming within UkraineProven track record of successfully managing large-scale projects in Ukraine funded by international donors/organisationsAt least five years of experience working in (I)NGOs in Ukraine or abroad in humanitarian or development sectorDemonstrated experience in project proposal writing, planning, M&E, and implementation phases, with proven experience in managing funds from various donorsExperience and knowledge of effective financial and budgetary control and managing grants through coordination with local partnersSkills and CompetenciesStrong leadership and relationship management skills. Ability to adapt to and work effectively with diverse set of organisations and peopleExcellent analytical, strategic thinking, and problem-solving skills to navigate complex project challengesProficient in project planning, budget management, and monitoring and evaluation, ensuring project deliverables align with goals and objectivesBuilding and maintaining effective relationships, with their team, colleagues, members and external partners and supportersEffective communication and stakeholder engagement skills to liaise with various partners, including international donorsExcellent experience facilitating and encouraging effective team communication and team working spirit, as well as writing project reports and status updatesAbility to plan and manage time, multi-task and delegate tasksAble to work in unstable, rapidly changing and insecure environmentContextual knowledge and visionDeep understanding and knowledge of the Ukrainian context, particularly dynamics affecting IDPs, returnees, and host communitiesAbility to adapt plans in rapidly changing environment and offer solutionsLanguage requirementExcellent written and spoken EnglishExcellent written and spoken UkrainianTravel within Ukraine will be required, based on Caritas Switzerland security team advice and oversight.We look forward to receiving your application (Cover letter and CV) via the Caritas Switzerland Web Portal by 20 May 2024.
