Scope: People Data and Payroll / People Specialist PS&S Ukraine ( Factory in Ivano-Frankivsk & Sales Division in Kyiv )
The purpose of the role is to drive service delivery within the area of People Services and Solutions in the team located in Ukraine. On this position you will report to PS&S Manager, People Data and Payroll.
As a People Specialist the person will drive and implement wide aspects of people plan on a local (country) scale and ensure global practices comply with local law.
Key responsibilities:
- Direct participationin personnel administration, calculations for closing periods, regulation of hiring/firing procedures, HR document management
- Management and support of payroll processes, calculation of sick leaves, providing consultations with executive letters, salary indexation
- Preparing with Team external salary reports (reports to Tax office, salary statistical reports)
- Formation/creation/amendment of existing instructions, procedures regarding internal organization working process and collective agreement
- Direct participation and support of the Team in passing audits and inspections
- Ensures processes are delivered by the team within agreed Service Level Agreements (SLAs) and in line with objectives and agreements with stakeholders
- Drives the growth of the provided People Services through analysis of external and internal opportunities, close collaboration with key stakeholder and analysis of their needs
- Performs operational work within the given scope of People Data and Payroll Administration for the better understanding of the operational specifics
- Secures the delivery of reports on the processes managed according to the business requirements
- Acts as first point of contact in case of any escalations
- Plans workload and resources according to what needs to be delivered
- Responsible for customer satisfaction measurement processes
- Manages the team of direct reports on daily basis, promotes people development and contributes to creating high performing learning organization
- Communicates effectively on different levels of organizational structure
- Contributes and promotes continuous improvement activities
- Ensures a consistent method for documenting, storing, and updating all processes, desktop procedures and operational/technical documentation
- Local implementation and adjustment of various global people programs
- Support with people-related topics
- Provide advice and expertise on local realities as well as information on local labor laws and legal advice on managing performance
Desired Skills and Experience:
- Strong knowledge of Labor Laws, Vacations Low, Mobilization Low and others related to personnel administration and payroll process
- Knowledge of Order No. 100 (average salary calculation), Order No. 1266 (calculation of sick leaves), executive letters, gift taxation
- Good User of MEDoc - reporting to tax office, Local Payroll system 1C - Salary and personnel, Pension Fund Portal (sick leave and other function)
- Minimum 3 years' of similar experience in HR and/or Payroll, or as HR Business Partner, experience in managing people is a plus
- Good understanding and experience with local payroll / legislation / Ukrainian labor law and regulations is a must
- Very good understanding of Personal Administration processes
- Fluent English
- Role model for professional customer service excellence practices
- Understanding of technologies applied to HR environments (Workday or other employee's data administration platform, ticketing systems, time and attendance tools etc.)
- Knowledge and experience of Project Management methodologies would be an asset
