Since 2016, arche noVa has been active in Ukraine, supporting the affected population in Donetska and Luhanska oblasts. With the full-scale war outbreak in February 2022, arche noVa has expanded its relief program in Ukraine, responding to the unprecedented humanitarian crisis. The war has shown no signs of abating and continues to drive increasing humanitarian needs across the country, affecting all spheres of life and uprooting millions of Ukrainians. It has resulted in civilian casualties that continue to grow and significant damage to infrastructure. 

For the implementation of the arche noVa`s relief measures in Ukraine, we are looking for an HR & Administration Officer (national position)

 

Duration: until the 14th of August 2025, with the possibility of an extension

Position to be filled: asap

Duty station: city of Kyiv

Contract: labour, with one months of a probation period 

 

Position Summary

 

Under the direct supervision of the Finance & Administration Coordinator, the HR & Administration Officer will be responsible for assisting in the implementation and conducting of activities related to the administration and staffing of the arche nova program in Ukraine. 

Key Responsibilities

 

  • Supporting the relief measures implementation by the provision of a range of HR and administrative services required for the arche noVa`s office's smooth operation
  • Manage recruitment and onboarding processes, including sourcing candidates, conducting interviews, and facilitating the improvement of the hiring process
  • Develop and implement HR policies and procedures in compliance with donors' guidelines, ache noVa internal regulations and relevant Ukrainian legislation
  • Maintain accurate records of employee information and HR-related documentation, including the preparation of contracts, job descriptions and other relevant tasks
  • Assistance in coordinating and conducting training and development initiatives for team members
  • Overseeing administrative functions, such as administrative support to staff, coordinating meetings, travel arrangements, and handling correspondence
  • Contributing to the organization of online and offline events, preparing and distributing agendas and minutes of meetings 
  • Ensuring control over the availability of necessary office supplies for all team members
  • Performing other relevant duties as and when required

Requirements

 

  • Diploma/certificate in administration, HR or other relevant field 
  • At least 2 years of demonstrated relevant experience 
  • Experience with humanitarian NGOs/INGOs in the Ukrainian context

will be an advantage

  • Good communication, networking and interpersonal skills
  • Good command of Ukrainian and English (both written and spoken) is preferable
  • Ability to work both independently and in a team
  • Strong computer skills, particularly in MS Office (Word, Excel, PowerPoint etc.) 
  • Strong self-organisational skills
  • Ability to work under stress and in a changing environment
