We are looking for a Administration and Human Resources Specialistfor the NRC Northern Regional Office in the city Chernihiv.
The purpose of the HR/Administrative Specialist position is to perform day-to-day tasks related to personnel management in the Northern Regional Office.
Your responsibilities will include:
- Adhere to NRC policies, tools, manuals and guidelines
- Prepare and develop status reports as required by management
- Ensure proper storage of documents related to personnel and administrative matters
- Perform all administrative tasks to ensure the smooth running of the NAO office (office and mobile suppliers, landlords and cleaners, all other persons/organizations involved who check utility meters, correctness of bills for services rendered, assist with document collection)
- Assist in preparing the office/meeting room for meetings, conferences and other events. Handle catering and other related services.
- Perform any other duties as assigned by immediate supervisor.
- Manage official correspondence. Sending, receiving, distributing and archiving incoming and outgoing letters, mail and other documents for the NAO.
- Organizing and scheduling meetings and appointments as needed. Professional and friendly greeting of new NRC employees/suppliers/visitors.
- Ensuring timely and efficient completion of all administrative tasks and processes.
- Organizing business travel withpart-time employees: train/bus tickets and hotel reservations, organization of conferences and transport (if necessary), payment of per diems.
- Organization of events, verification of accompanying documents, preparation of documents for payment.
- Organize delivery of food and non-food items to the office, prepare documents for payment.
- Responsible for arranging the supply of office supplies and proper maintenance of the field office premises (offices, guest houses, apartments) in accordance with NRC policies and procedures.
- Ensure that all lease agreements are current, prepare documents for rent payments.
- Provide support in the selection of premises (offices, guest houses etc).
- Assist in initiating procurement procedures using the Agresso internal procurement system.
- Manage all travel/vacation orders for national staff, maintain up-to-date holiday schedule for national staff.
- Ensure timely execution of HR activities and dissemination of standard operating procedures procedures and policies for personnel management in the representative office.
- Carry out the hiring process for positions of 1-5 grades, ensuring the implementation of admission and dismissal procedures for all employees of the representative office.
- Administration of personal files of employees: daily uploading of all personnel management documents to Filing Tree, creation of personal files of employees.
Requirements:
- Minimum of 2 years of relevant experience in HR/administrative positions.
- Average level of English.
- Previous work experience in difficult and unstable conditions.
- Fluency in Ukrainian and Russian languages.
- Previous work experience in difficult and unstable conditions will be an advantage.
- Ability to work independently.
- Higher degree in HR/Administration/Finance or other relevant education.
- Good knowledge of software (MS Word, Excel, Access, Power Point).
- Ability to work independently and proactively.
