The HR and Admin Officer will ensure smooth flowing of Human Resource and Administration function particularly for Ukrainian staff based in Kyiv and supporting any other location if needed. Through implementing DCA HR policies and procedures, the HR & Admin Officer will ensure that all personnel activities are handled in accordance with DCA, donor, local requirements and legislation. The HR & Admin officer will also provide admin support to the staff and office/ guesthouse management to ensure smooth functioning of the offices, premises and guesthouses.Main responsibilities:Ensure new joiners of Kyiv office have all internal policies acknowledged and signed off all internal policies and all relevant documents upon starting their positions. This includes signing of a Job Description, contract, policies and procedures especially the Code of conductConfirm new staff are trained on timesheet process and HR administration procedures. Verify that personnel and job files are being maintained to the required level in line with Ukrainian and DCA rules and regulations, including recruitment documents, CVs, valid contracts, timesheets, leave days, employee data sheets, disciplinary papers.Responsible for Finscan (both for new employees and partners)Ensure staff contracts are updated on time and that all staff whose contracts are not going to be renewed are informed at least one month prior to the end of their current contract. Responsible for filling of administrative documents according to DCA standards and local legislation.Coordinating new staff induction process in country level. Facilitating recruitments Provide support to the staff in meeting administrative and office needs.Provide support in organizing meeting and trainingsCommunication with landlords.Ensure all staff have a valid DCA ID cardOrder and distribute stationary, Kitchen supplies, hygiene materials, water bottles, and other needs of Office.Raise & follow up Petty cash for all Office needs & maintenance when needed.Collect, store, and manage receipts, invoices and other documents associated with the travel, accommodation, and work.Work with postal service companies.RequirementsUniversity degree in Economics, HR, Law, Finance is preferred. Minimum 2 years of experience in Human Resources function (preferably in a non-government organization). Good understanding of Ukrainian legislation (labor and civil legislation).Fluency in English and Ukrainian, both written and verbal.
