DRC is currently seeking highly qualified Grants Management Manager to work in our office in Kyiv.
General job objectives:
Grants Management Manager plays a key role in ensuring strategic, compliant and high-quality implementation of programs. As a Grants Management Manager, you will lead the Grants Management department (Lead Grants Officers and Junior Grants Management Officer) and oversee the entire grant management cycle, including proposal development, reporting and compliance. You will create and improve standardized systems and processes for all grantees and implementing partners to ensure efficiency, accountability and donor compliance.
Working closely with the Head of Program Operations and Deputy Head, you will ensure timely submission of high quality proposals and contribute to strategic funding development, interagency coordination and building strong relationships with donors and program partners across the country.
Your primary responsibilities will be:
Proposal development and business development support
- Track funding opportunities and initiate decision-making/rejection meetings when new opportunities arise.
- Manage and coordinate proposal development processes in close collaboration with the Head and Deputy Head of Program activities.
- Coordinate inputs from programmatic, MEAL (data monitoring and evaluation), financial, operational, partnership, regional/headquarters teams and partners to ensure consistency, competitiveness and compliance of submitted proposals with the DRB strategy in Ukraine.
- Develop proposal submission schedules, ensure adherence to internal quality control processes and support reconciliation of budget with description.
- Maintain and update standardized proposal templates, tools and internal guidelines.
- Review all proposals to ensure logic matrix, budget, work plan and description are consistent and proposal quality is high.
Grant Management and Compliance
- Oversee the full grant cycle in accordance with DRB Program Cycle Management (PCM) guidelines, including processes, review, amendment and launch closure.
- Ensure compliance with donor requirements and DRB policies by proactively identifying and minimizing compliance risks.
- Establish and maintain robust internal tracking systems
- Coordinate and ensure the quality of timely submission of descriptive reports and support financial reporting processes in cooperation with the finance department.
- Control internal processes for contract amendments, no-cost extensions, reallocation of budget funds and other changes to grants.
- Provide structured internal recommendations on contractual obligations and ensure that program teams are clearly informed of key requirements donors.
- In coordination with the Government Engagement Team, provide support for timely project registration and reporting processes to relevant government agencies.
Internal coordination and systems improvement
- Contribute to regular grant review meetings, including grant opening and closing meetings, to monitor implementation progress, reporting deadlines and compliance issues requirements.
- Improve standardized grant management processes and tools across all regional offices and across partners.
- Ensure effective documentation and knowledge management of grant files and contractual records.
- Facilitate coordination between program, partner, MEAL, finance and operations teams to ensure timely and quality information related to grants.
Capacity development and management
- Ensure management and capacity development of the grant management department, ensuring clear work planning and quality results.
- Provide technical guidance and training to DRB staff and partners on proposal development, reporting, compliance and PCM processes.
- Contribute to the formation of a culture of responsibility, quality and continuous improvement in grant management as part of the program across the country.
- Visit DRB regional offices to provide support to local teams and partners.
About you:
To be successful in this position, we expect you to have at least 5 years of experience in grants management, including experience writing and developing successful proposals and reports, monitoring donor compliance and building grant management systems, and at least 3 years of experience in a leadership role. In addition, we also expect the following:
Required:
- In-depth working knowledge of donor institutional rules and compliance requirements eg ECHO, Danida/ DMFA, SDC, Sida and UN agencies
- Experience in relevant sectors including humanitarian. demining, social and legal protection, housing restoration, economic development.
- Excellent writing skills and proven experience in coordinating the processes of developing competitive proposals and securing institutional funding.
- Exp.of supporting grants implemented through local partners and in consortia.
- Proven experience providing training and day-to-day guidance to program teams on donor rules, reporting requirements, and PCM.
- In-depth understanding of grant cycle management, including contract amendments, budget revisions, reporting, and closing procedures.
- Strong coordination and interpersonal skills working with multiple departments to achieve results.
- Strong organizational skills, attention to detail and the ability to manage multiple deadlines in a dynamic environment.
- Proficiency in Microsoft Office (especially Excel and Word) and experience with an ERP or grant management system.
- Master's degree in International Relations, Humanities.
- Professional English fluency (C1).

We offer:
- Contract: 12-month contract after successful completion of a three-month trial period.
