CONTEXT

Three MdM (Doctors of the World) chapters are directly implementing activities in Ukraine: 

• MdM Spain has the lead for global MdM response in the country and covers Kyiv and surroundings, Donbass, Kharkiv, Zaporidja
• MdM Germany covers Dnipro and Vinitsia
• MdM France covers the Southern part, Odessa, Mykolaiv, Kherson

In South region, MdM-F supports and searchs for new perspectives of cooperation among other NGOs as well as among humanitarian, civil society, medical and local authorities. Main focus is the support in restoring access to medical services and Mental Health and Psychosocial Services (MHPSS) for populations affected by the conflict. The component of sexual and reproductive health, as well as Gender Based Violence is part of this project. MdM-F also collaborates with local organization, dedicated to population acknowledgement with LGBTQI+, sexual awareness topics. 

MAIN TASKS:

• The Grant Officer supports the mission in ensuring quality, timely and compliant proposal development, donor reporting, donor visibility, and funding monitoring.He/she acts as the focal point for donor?related documentation and contributes to the mission’s fundraising strategy by conducting donor mapping and ensuring high?quality external communication materials for donors.

Responsibilities:

A. Proposal Development. Launch and coordinate the proposal development process (planning, templates, timelines).

• Collect inputs from all departments and consolidate them into coherent, donor?compliant proposals.
• Write and/or rewrite narrative sections to ensure clarity and consistency.
• Ensure logframes indicators are SMART and coherent with planned project in collaboration with MEAL team and Program Coorfinator logframes.
• Ensure budget narrative alignment (with Finance).
• Prepare all annexes requested by donors.
• Ensure coordination with all department, and particularly with Program Coordinator for validation

B. Donor Reporting 

• Maintain a reporting calendar by updating the grant tracking tool and alert relevant teams about deadlines.
• Compile, draft, edit and finalize donor reports in close collaboration with departments.
• Ensure internal quality checks and compliance with donor formats and guidelines.

C. Donor Mapping & Engagement. Funding Intelligence

• Conduct regular mapping of funding opportunities in collaboration withthe Genco.
• Update internal donor database and monitor calls for proposals monthly.
• Provide quick analyses of donor priorities and eligibility. 

D. Visibility, Communication for Donors & Success Stories

• Develop factsheets, key messages, project summaries, and donor-tailored materials.
• Support the mission in producing success stories and testimonies from the field (coordination with staff, photography/short missions), in coordination with Partnership officer.
• Ensure donor visibility requirements are respected across the mission and by partners. 

E. Support to MoUs and Partnership Documents (Donor-related part only)

• Contribute to MoUs and Partnership Agreements ONLY for sections relating to donors, compliance, visibility, or reporting expectations.
• Coordinate with Partnership Officer to ensure coherence. 

F. Support External Audits & Donor Visits

• Prepare documentation required for audits or donor visits.
• Support the organization of field visits and ensure follow-up. 

CONDITIONS OF THE JOB 

Position is based in Mykolaiv, possible business trips within Ukraine.

SKILLS REQUIRED

•High level of English is mandatory

• Strong writing/editing/ synthesis skills 

• Excellent organizational and coordination skills.

 • Knowledge of EU/ECHO, UHF/UN, FCDO and other donor rules and regulations will be a strong advantage

• Excellent leadership skills - ability to collaborate a team of experienced professionals and to coordinate with other departments

• Ability to manage and prioritize deadlines and multiple requests. 

• Flexibility and adaptability to changing priorities and requirements in a fast-paced environment

• Understanding of program cycles and MEAL principles is a strong asset.

• Analytical and problem-solving skills to identify potential challenges and propose solutions

• Detail-oriented with a focus on accuracy and quality in grant documentation and reporting

TRAINING & EXPERIENCE:

At least 2 years of experience in:                                                                                            - grant development, proposals and report writing, data collection and reporting;      - donor relations (NGO experience an asset);                                                                      - team coordination;                                                                                                                  - program management is an asset.

EMPLOYMENT CONDITIONS 

• Contract Type: Fixed-term labour agreement

• Probation Period: 2 months

• Salary: According to MdM salary grid (non-negotiable): base gross salary of 68598 UAH/month, plus monthly Food & Transportation Allowance
