TCHU is thousands of people all over Ukraine who make the world a better place every day. coordinating the portfolio of projects and grants. The incumbent will collaborate with Finance, Monitoring and Reporting, and all program departments to ensure smooth management of grants, projects, and contracts, with a focus on donor compliance and accountability.
Responsibilities:
Writing grant applications:
- Participation in meetings regarding new/future grants (providing analytical information, providing templates, etc.)
Monitoring and managing the portfolio of grants and projects:
- Maintenance of the database of grant applications of the TCHU (registration of submitted grant proposals in the system and update of statuses, transfer of grant applications to project status, project coding, etc.)
- Maintenance of the database of project contracts and Donors (signing of agreements and exchange with Donors, uploading to the system for the project, entering the terms of the contract into the system for further control)
- Maintenance of the database of humanitarian projects of the TCHHU (filling in the project card, consolidation of project reports, updating project budgets, analysis of received information and coordination issues between the relevant units)
- Control of the fulfillment of the terms of project contracts and cooperation with program departments (control of deadlines for reporting/conducting audits/making changes, etc., coordination within the organization with relevant units, control of project closure/extension and submission of proposals for further cooperation)
- Participation in the construction/adaptation of cross-functional processes with other departments (support of the knowledge management system, coordination with the proposal writing department, PMER, financial department)
Reporting:
- Facilitating communication and ensuring timely and accurate reporting to Donors
- Viewinterim and final reports
- Reporting to donor platforms as required when necessary
- Coordinating responses to Donor requests when necessary (e.g. requests for information, changes, etc.)

Project closure
- Ensuring completion of project closure checklists, archiving of all documents to the Project Database and final closure of projects.
- Assist in the annual audit and any separate audit of a defined portfolio of grants and projects (eg preparation/review of supporting documentation, documentation of subrecipients).
Additional duties /Additional Tasks:
- Participation in the working group on the implementation of the ODOO ERP system in terms of project management (transfer and testing of the database of grants and projects, recording of comments/suggestions regarding the finalization of the system and communication with by the implementation team)
- Creation of business processes for coordination between related departments, if necessary
Requirements for the candidate:
- Availability of higher education .
- Knowledge of the methodology and principles of project and program management (preferable in the humanitarian sector).

- Work experience in public organizations or a humanitarian organization (preferred).
- Experience in project activities.
- Experience in optimizing business processes.
- Experience in communication with different categories of people.
