GENERAL INFORMATION
BF "Right to Defense" (hereinafter - the Fund) is a sector leader in the protection of people who have suffered from war, veterans, refugees and stateless persons. We seek recovery and integration for those we help. Our team protects people's rights and influences laws and decisions in Ukraine and the world to become fairer. We are actively developing a network of partners for localized support of those who need it. The fund is 13 years old. Today, the team of BF "Right to Defense" has about 1,200 specialists. Geography: 22 regions of Ukraine, as well as a representative office in Poland. More than 3,300,000 people have received aid since the start of the full-scale invasion. Our work was recognized at the national level: in 2024, the Foundation won the first place in the "Charity Ukraine" competition in the "All-Ukrainian charity" category, entered the top 10 of the Forbes Ukraine rating of "50 best charitable organizations" and took 9th place in the integrity rating of Ukrainian charitable foundations.
Responsibilities:
- Conducts surveys of beneficiary institutions to clarify needs according to previously collected generalized data;
- Invites letters of requests for assistance in kind from institutions,
- Performs visits to institutions to inspect the premises for which assistance is ordered, coordinates filling the offer with commodity items according to the identified real needs;
- Advises the administration of institutions according to the process of ordering, receiving and reporting on the aid received;
- Coordinates the distribution of material aid: processes collected applications for receiving aid; creates applications for assistance in the accounting system; creates aid delivery documents;
- Creates purchase requests for goods, monitors timely processing and registration of such requests; communicates with suppliers regarding the conditions and documents for receiving goods for storage;
- Participates in planning the departure of monitoring and distribution teams of the assigned region, ensures timely information to team leaders and management about the readiness of goods for shipment;
- Communicates with the administrations of institutions regarding the clarification of collected needs, analogs, agrees on the time and other terms of delivery of goods;
- Performs visits to establishments to accompany the delivery of goods, controls the completeness and quality of delivered goods according to the order, accompanying documents and specifications;
- Notifies warehouse and other logistics contractors about planned goods receipts and expenditures, checks all documentation of goods movement;
- Communicates with suppliers regarding conditions and documents for receiving goods at the warehouse storage;
- Reports to the Lead Specialist in Material Assistance Accounting for the period and upon request on all in-kind assistance operations;
- Checks the primary documentation that is transferred from the regional offices for audit and storage at the head office;
- Responsible for reconciliation and control of the filling of reporting documentsprojects according to the standard operating procedures of project support;
- Controls product balances in warehouses, analyzes the readiness of goods for delivery, analyzes the shelf life of goods and the reasons for long storage;
- Comply with the Code of Conduct and the Fund's Policies.
Professional skills:
- Experience of working as a logistician or commodity researcher or a senior storekeeper or accounting specialist at enterprises;
- Experience of working with accounting systems (preferably 1C);
- Ability to communicate with different teams, explain the peculiarities and requirements of accounting, provide support and help in work with documentation;
- Conducting reconciliations with partners for the reporting period, adjusting invoices in case of discrepancies;
- Working with warehouse and transport damage complaints;
- Experience in working with regular reports in terms of merchandise balances;
- Understanding the principles of material responsibility;
- Good analytical skills abilities and attention to details;
- Aspiration for teamwork;
- Self-motivation;
- Flexibility.
