In his/her capacity as representative HEKS/EPER, the Field Operations Associate assists the Field Operations Manager in operational activities for the office in Sloviansk (including future relocation to Lozova) and provide support to the emergency project( s) being implemented. S/he is responsible for assisting with the coordination of all field activities in their area of ​​responsibility including, but not limited to, HR, Administration, Logistics, and Program Departments.

The Field Operations Associate works under the supervision of the Field Operations Manager. S/he works with all relevant authorities at district and community level (civil, religious, police and all other services) for a better implementation, acceptance, and ownership in improving the living conditions of IDPs / returnees and host communities.

HEKS/EPER expects its personnel to behave in accordance with local culture and traditions. The incumbent ensures the moral protection of the name of HEKS/EPER and upholds the organization's interests. HEKS/EPER intervenes without any affiliation to politics, religion, or financial profit. The incumbent will direct his or her activities and engagements without preoccupation of political, racial, or religious affiliation.

Duties and responsibilities and tasks:

?Operational Assistance and Coordination:

?Assist the Field Operations Manager in the daily management of field operations.

?In accordance with HEKS EPER policies, assist the Field Operations Manager in organizing inductions and training for new and current employees.

?Provide suggestions to the Field Operations Manager on how to improve operations.

?Cooperate with different departments to facilitate operations.

?Maintain a schedule of operations related to programs and support the teams directly as needed.

?Participate in and take notes during the weekly, monthly, and any other coordination meetings.

Regularly transmits highlights, notes, information related to relevant recipients.

?Contribute to the preparation of operations status and progress reports, weekly, monthly, annual, semi-annual reports by providing info, narratives and preparing tables, etc.

?In coordination with his/her manager, meet with management of field departments to determine operational needs.

?Follow-up and update contact lists (authorities, NGO’s, staff, others).?Perform other coordination duties, as necessary.

?Promotes and takes an active part in quality improvement processes.

?Complies with labor discipline, labor protection and safety rules, fire-prevention requirements, industrial sanitation and labor hygiene rules, safety, and environmental regulations and guidelines.

?Uphold and implement safeguarding frameworks within the team.

?Help to ensure health and safety of all teams, respecting any program security policies developed or in place.

?Supervisory Responsibilities:

Field Work and Coordination:

?As required, participate in field visits with the Field Operations Manager and/or other departments during program activities.

?Agree to the publication of activity photos without additional consent for their use by the Foundation.

?Technical Guidance:

?Assist in creating management tools (questionnaires, databases, operations trackers).

Manage Operational Trackers to ensure a clear picture of all field activities are easily accessible.

?Collaborate with stakeholders to facilitate activities and identify needs.

?Collect and report information on activity progress weekly to the Field Operations Manager.

?Report delays, problems, or relevant information to the line manager immediately.

?Communication and Reporting:

?Ensure daily coordination with implementing partners.

?As required, ensure collection and creation of communication materials (photographs, human/success stories), and create brief text reports from handouts.

?Compliance and Safety:

?Promote and take an active part in quality improvement processes.

?Comply with labor discipline, labor protection, safety rules, fire-prevention requirements, industrial sanitation, labor hygiene rules, and environmental regulations.

?Ensure the safe storage and confidentiality of documents and materials provided by the Employer.

Job requirements:

Educational and Professional Background:

Bachelor’s degree in a related field with relevant certificates and licenses.

2 years of experience in a similar position, preferably with at least 6 months in an international NGO.

Skills:

Fluency in written and spoken English and Ukrainian.

Organizational, analytical, and time management skills.

Excellent interpersonal, communication, and presentation skills.Self-motivated with the ability to work in highly stressful and challenging environments.

Proven knowledge of MS Office applications and IT literacy.

Knowledge of Logistics and Asset management is an advantage.
