Looking for Executive Assistant for Head of in-house products in the American production IT company, which provides a full-stack package of complex AdTech solutions for digital advertisers, publishers and ad agencies worldwide.

The team of the company consists of 150 people
Locations - Portugal, Bulgaria, Ukraine (Kyiv/Odessa) or remote

Requirements:
- Experience on similar position at least 1 year
- English - Upper-Intermediate/Advanced
- Education - Bachelor’s degree (specialization doesn’t matter), Master’s is preferable;
- Result- and detail-oriented approach;
- Proactivity and critical thinking;
- Self-starter with strong self-discipline and punctuality;
- Advanced knowledge of Microsoft office and Google GSuite;
- Being able to find answers to any questions autonomously;
- High level of perfectionism;
- Ability to work from our office in Kyiv at least 3 times/week
- Ability to travel to conferences abroad (1-2 times/year).
Will be a plus:
- Experience of Personal Assistant/Administrative Assistant/Operations Manager
Will be responsible for:
- Create presentations for team meetings;
- Create, own and control boards in task management tools (such as Jira) for evident, well-structured and efficient resolution;
- Provide support at the industry events and business/personal trips (booking tickets, hotels, restaurants, passes, search and rsvp for industry-related events, plan routes and schedules), taking into consideration personal preferences of the task-owner;
- Assistance with personal inquiries (such as scheduling/rescheduling appointments, organising delivery etc);
- Manage supervisor’s schedule (timings, schedule, deadlines);
- Assistance in preparation to the events (communication with vendors, gathering and analysing the information, doing comparative analysis, making orders, tracking the deadlines, assisting in setting up meetings, onsite control);
- Participation in meetings (calls) to take the meeting notes and transform them into action items, write follow-ups and track fulfillment of these tasks and follow-ups within the deadlines set;
- Synchronise multiple team members for timely task resolution, if required;
- Fetch and analyse trade reports from our platforms and present them in a clear and easy-to-grasp way. Store them accordingly for prompt access to the information in them;
- Conduct surveys, collect feedback, proactively initiate changes and improvements to the existing processes and approaches;
- Process large volumes of information from multiple sources, analyse and summarise it in a clear way with specific and well-structured items, deep understanding and ability to presentit;
- Assistance with HR such as organising team-buildings/trainings and other activities for the team together with team leaders;
- Proactively solve tasks without waiting to be told so (based on the fundamental knowledge of the processes).
